About the Role:
Serving as a central coordination hub, the role supports vendor governance, maintains rigorous documentation standards and manages day-to-day administrative activities to enable the smooth, well-governed delivery of Digital Platforms initiatives.
Required Skills & Competencies:
- 1-3 years of relevant professional experience in project coordination or administrative support roles.
- Provide comprehensive administrative and coordination support, including calendar management, meeting scheduling, and follow-up on action items.
- Coordinate internal and external meetings, prepare agendas as required, and document minutes and action points to ensure accountability and timely completion.
- Assist in the preparation of presentations, briefing notes, and supporting documentation for leadership and governance forums.
- Create, manage, and track iPROC / iProcurement requests for all Digital Platforms-related procurements, including digital tools, licenses, retainers, integrations, and development services.
- Prepare, submit, and monitor Purchase Orders (POs), ensuring accuracy of documentation and alignment with approved milestones.
- Review and validate foreign currency variations for international invoices, where applicable.
- Maintain a centralized and well-organized repository of departmental documentation, including contracts, Statements of Work (SOWs), approvals, and integration-related records.
- Develop and circulate monthly portfolio status reports covering Digital Platforms initiatives.
- Maintain a consolidated, department-level tracker for all digital initiatives across squads, clearly capturing milestones, statuses, and timelines.
- Coordinate closely with internal stakeholders such as Finance, Procurement, Legal, IT, Marketing, Content, and other teams to ensure timely approvals and resolution of dependencies.
- Liaise with external government bodies, third-party agencies, technology vendors, and suppliers to obtain required documentation and confirm delivery of agreed outcomes.
