Role Overview
The HR Generalist is responsible for managing end-to end HR operations across the employee lifecycle, ensuring accurate HR data management, compliance, reporting, and a smooth employee experience. The role combines high-volume operational tasks with coordination across internal stakeholders, maintenance of HR systems and documentation, and support for both employee needs and organizational HR processes.
Key Responsibilities
HR Reporting & Compliance
- Prepare and submit monthly HR reports (e.g., headcount, new hires, departures) to internal and external stakeholders.
- Maintain compliance documentation, including ISO recertification activities.
- Update and maintain supplier and HR compliance records.
- Support audits by ensuring all HR documentation is accurate and up to date.
Employee Administration
- Manage day-to-day employee administrative requests (high volume, time-sensitive).
- Issue employee certificates and official documents.
- Maintain employee files (physical and digital) to ensure completeness and accuracy.
- Handle onboarding and offboarding administration processes.
Onboarding & Offboarding
- Coordinate the onboarding process:
- Prepare and send employment contracts.
- Collect and archive employee documentation (ID, diplomas, CV, etc.).
- Set up employee profiles in HR systems (SAP).
- Organize onboarding meetings and communications.
- Manage offboarding documentation and system updates.
- Communicate monthly updates on new joiners and leavers.
HR Systems & Data Management
- Maintain and update HR systems (e.g., SAP, Excel trackers).
- Ensure accurate employee data (personal details, benefits, status changes).
- Track and update: (Medical leave records, Paid leave and absence records, Travel and timesheet data)
- Perform regular data validation and error correction.
Payroll & Benefits Administration
- Support payroll processing (Prepare and validate timesheets)
- Report payroll changes and corrections
- Coordinate with payroll stakeholders
- Administer employee benefits (Private health insurance, 7Card subscriptions)
- Validate invoices related to benefits and HR services.
Health, Safety & Wellbeing
- Manage occupational health processes (hiring, exits, annual checks).
- Maintain Health & Safety (SSM) records.
- Track and update medical certificates and compliance documentation.
Office & Facilities Administration
- Support office-related administrative processes for employees.
Internal Communication
- Send official HR communications to employees.
- Provide guidance and responses to employee queries.
Key Skills & Competencies

- English advanced level, German nice to have
Experience & Qualifications
- 1–3 years of experience in HR administration, HR operations, or HR generalist roles
- Familiarity with HR processes (onboarding, payroll, benefits, compliance)
- Experience working with HR systems (e.g., SAP or similar) is a plus
- Bachelor’s degree in HR, Business Administration, or related field preferred
Nice to Have
- Experience in ISO or compliance-related processes
- Exposure to payroll coordination
- Experience in fast-paced or shared services environments

adesso is providing IT delivery, consultancy and software solutions with international teams. The new subsidiary, adesso Romania, is based in Bucharest. It is to begin supporting adesso’s international delivery network (www.adesso-smartshore.com) in staffing and logistical terms effective immediately.
Around 1000 of the more than 12000 employees in the adesso Group already work for customers in Europe at adesso’s SmartShore locations in Turkey, Bulgaria and Spain. Main technology stack is Java, .NET, FE, Mobile App Development, MS Power Platform, and DevOps.
The IT experts work on digitalization projects as part of international project teams.
