Role Purpose

The HR Coordinator supports the HR team by executing day-to-day HR processes across all Rain locations. The role ensures that all employee lifecycle tasks such as onboarding, documentation, Oracle updates, payroll inputs, visa/immigration work, travel arrangements and offboarding are completed accurately, consistently, and on time. This role is operational, detail-focused, and central to delivering a reliable employee experience across Rain entities.


Scope of Responsibilities

1. Employee Lifecycle Administration

  • Execute onboarding and offboarding processes end-to-end.
  • Prepare and maintain employment documents (offers, contracts, amendments, letters).
  • Ensure all employee data is consistently updated across all systems, payroll sheets, and trackers.
  • Coordinate probation reviews, contract renewals, and internal movements.
  • Ensure all HR files and employee records are accurate and in order at all times.


2. HR Operations & Systems

  • Maintain Oracle/HRIS data integrity and ensure records are complete and accurate.
  • Track employee changes (comp, role, reporting changes, status updates).
  • Maintain and improve operational trackers (headcount, joiners/leavers, visa, documentation, leaves).
  • Support audits and documentation requests from Compliance, Legal, and Finance.
  • Maintain employee dashboards and analytics for monthly reporting.


3. Payroll & Benefits Coordination

  • Submit validated monthly payroll inputs (new hires, changes, allowances, deductions, exits).
  • Manage medical insurance tasks: onboarding, removals, claims support.
  • Ensure leave data, balances, and attendance logs are accurate for payroll processing.
  • Manage any payroll changes letters, such as promotion, increments and any other contractual changes.


4. Visa, Immigration & Local Compliance (UAE)

  • Coordinate UAE visa and PRO processes, ensuring all documentation is complete for all entities: DIFC, ADGM
  • and future entities.
  • Track visa renewals, onboarding requirements, and immigration timelines.
  • Ensure compliance with UAE labor and immigration standards; escalate risks early.
  • Reduce PRO cost by managing visas in-house wherever possible.
  • Assist with employee travel and international visa applications.


5. Employee Support & Experience

  • Act as a point of contact for employee operational queries.
  • Support People initiatives including engagement, internal events, and learning programs.
  • Maintain SLAs for turnaround times, communication, and data updates.
  • Manage and maintain a record for all office supplies, office furniture and office material (eg. onboarding material,
  • caps, shirts, diaries etc).
  • Manage parking and office access.


Success Metrics (KPIs)

Operational Accuracy

  • Zero material payroll errors driven by data or process gaps.
  • 98–100% HRIS data accuracy across all core fields.
  • 100% document completeness per onboarding and offboarding checklist.
  • Timeliness & SLAs
  • All onboarding tasks completed X days before start date.
  • Contracts, letters, and documentation issued within 48 hours of request unless asked otherwise.
  • Employee queries responded to within 1 business day.
  • UAE visa/immigration tasks completed within agreed SLA with PRO based on immigration requirements.


Compliance

  • Zero missed renewals (visas, contracts, probation confirmations).
  • 100% adherence to record-keeping and audit requirements.
  • Efficiency
  • Processes continuously updated, simplified, or automated.
  • Documentation and trackers kept current with no gaps.
  • Employee Experience
  • Positive feedback from new joiners (onboarding survey).
  • Reduced back-and-forth or rework across HR Ops tasks.
