Job Description
We are hiring one full-time Project Coordinator to join our team.

The Project Coordinator supports the successful delivery of both client-facing and internal projects, with a primary focus on system implementations, system transitions, and project improvement initiatives.

Working closely with the Project Manager, this role helps ensure projects remain organized, documented, and continuously moving forward. The Project Coordinator plays a central role in maintaining project visibility across teams by tracking tasks, documenting meetings, coordinating follow-ups, and supporting clear communication between internal team members and clients.

What You Will Be Responsible For

The Project Coordinator helps ensure projects remain organized, transparent, and accountable across the firm. Key responsibilities include:

Project Coordination and Execution
  • Support the planning and coordination of client and internal projects.
  • Maintain project plans, schedules, and task trackers.
  • Monitor task progress and follow up with team members to maintain accountability.
  • Identify potential delays or risks and escalate them appropriately.
  • Maintain accurate and organized project documentation across systems.
  • Deliver weekly status updates summarizing project progress and priorities.
Meeting Coordination and Documentation
  • Attend internal and client-facing meetings alongside the Project Manager.
  • Prepare meeting agendas when needed.
  • Capture detailed meeting notes and document action items.
  • Track follow-ups, owners, and deadlines.
  • Support internal communications and reporting processes.
  • Prepare post-meeting summaries and distribute updates to project team and/or stakeholders.
  • Maintain project records within company systems.
Systems and Process Improvement
  • Support improvements to project management tools and workflows.
  • Assist with standardizing documentation templates and reporting formats.
  • Contribute to refining project delivery practices across the firm.


Requirements

What We Are Looking For
We are looking for someone who approaches their work with ownership, curiosity, attention to detail, and who brings strong foundational skills with a willingness to grow.

Required Qualifications:
  • Foundational knowledge of project management principles and terminology.
  • Post-secondary education or certificate in Project Management from an accredited university and/or college recognized by the Project Management Institute.
  • Experience using project management tools such as Zoho Projects, Asana, Monday.com, Trello, Jira, or similar platforms.
  • Strong organizational and coordination skills.
  • Excellent documentation and note-taking abilities.
  • Strong attention to detail and accuracy.
  • Demonstrated professional verbal and written communication skills.
Preferred Qualifications:
  • Experience supporting ERP system implementation or operational projects.
  • Familiarity with structured project methodologies such as Predictive, Agile, or Hybrid approaches.
  • Familiarity with accounting terminology.
  • CAPM certification or membership with the Project Management Institute (PMI).
Everything else — tools, project templates, internal workflows, internal systems — we will train.
