Project Coordinator
Construction & Design Engineering Projects
Location: Montreal, Quebec
Overview
A leading developer of large-scale clean energy and industrial infrastructure projects is seeking a Project Coordinator to support the execution of a major capital project currently in design and construction phases.
This role will work closely with the Project Director and multidisciplinary teams to ensure seamless coordination across engineering, procurement, and construction activities. The Project Coordinator plays a critical role in maintaining project alignment by supporting planning, documentation, communication, and progress tracking across a complex, fast-paced project environment.
Key Responsibilities
Project Planning & Execution Support
- Assist in the development and maintenance of project execution plans, schedules, and progress tracking tools.
- Coordinate interdisciplinary activities across engineering, procurement, and construction teams.
- Maintain comprehensive project documentation, including drawings, RFIs, transmittals, permits, change logs, and reports.
- Support the Project Director in tracking scope, milestones, cost exposure, and key risks.
Communication & Stakeholder Coordination
- Act as a central coordination point between engineering teams, construction supervisors, contractors, and external stakeholders.
- Organize and facilitate coordination meetings, including preparation of agendas, minutes, and action trackers.
- Ensure timely follow-up on deliverables, decisions, and outstanding items.
- Provide structured updates and escalation support to the Project Director.
Schedule & Resource Coordination
- Maintain and update project schedules, tracking progress against key milestones.
- Identify schedule variances and support corrective action planning.
- Coordinate material deliveries, vendor timelines, and site resource requirements.
- Support planning and sequencing of on-site activities.
Document Control & Reporting
- Manage controlled documentation, including versioning, approvals, and transmittals.
- Ensure compliance with project document control standards and governance requirements.
- Prepare weekly and monthly reports, dashboards, and project presentations.
- Maintain accurate project records for audit and quality assurance purposes.
Risk, Issue & Change Tracking
- Maintain logs for project risks, issues, and change events.
- Support mitigation planning, escalation, and decision-making processes.
- Track resolution of corrective actions and outstanding approvals.
Operational & Administrative Support
- Support procurement activities, including RFQs, purchase order tracking, and vendor coordination.
- Assist with onboarding and coordination of project personnel.
- Ensure adherence to project procedures, safety standards, and engineering best practices.
Required Experience
- Bachelor’s degree in Engineering (Civil, Mechanical, Electrical, or related discipline).
- 5+ years of professional experience, including at least 2 years in a project coordination role within construction or engineering environments.
- Strong understanding of construction workflows, engineering deliverables, and project lifecycle processes.
- Proficiency in project management and collaboration tools (e.g., MS Project, Excel, SharePoint, or similar).
- Strong organizational, document control, and time management skills.
- Excellent communication and coordination abilities across field and office teams.
- Ability to operate effectively in fast-paced, multidisciplinary project environments.
Preferred Qualifications
- Experience on large-scale industrial, energy, or infrastructure projects.
- Familiarity with advanced project systems (e.g., Primavera P6, BIM tools, or engineering document control platforms).
- Exposure to contract administration, cost tracking, or change management processes.
- Knowledge of construction site operations, permitting, and QA/QC practices.
- Professional certifications such as CAPM, PMP, or equivalent.
- Experience supporting multi-contractor or multi-discipline project execution environments.
