    About the Role:


    The People & Culture Community Operations Specialist will play a key role in supporting end-to-end HR operations and office administration across Southeast Asia (SEA). The role reports to the HR Director SEA and is responsible for ensuring smooth HR processes, a compliant and efficient workplace, and a positive employee experience through strong operational execution and engagement initiatives.


    This role will be based in Singapore.


    Key Responsibilities


    1. HR Support


    SEA Talent Acquisition

    • Provide end-to-end HR support across SEA markets, including job postings, candidate sourcing and shortlisting, candidate communication, and interview coordination.
    • Partner closely with hiring managers to ensure a smooth and efficient hiring process.
    • Maintain accurate and up-to-date recruitment records, and support the preparation of onboarding documentation for new hires.


    Employee Benefits & Insurance Management

    • Manage relationships with insurance vendors across SEA for medical and employee benefits programs.
    • Oversee enrollments, renewals, and claims processes while ensuring cost efficiency through regular market benchmarking.
    • Identify and recommend optimal benefits solutions aligned with company and market practices.


    New Employee Onboarding

    • Deliver a seamless onboarding experience by preparing onboarding schedules, coordinating with stakeholders, and ensuring timely completion of all onboarding activities.
    • Support new hires’ integration into the organization, ensuring a positive first-day experience.


    HR Compliance & Statutory Processes

    • Support compliance with local employment laws, statutory requirements, and HR policies across SEA markets.
    • Work closely with payroll providers to review payroll reports, validate data accuracy, and ensure timely and compliant payroll processing across SEA markets.
    • Assist in managing statutory claims and reimbursements, including but not limited to:
    • National Service (NS) claims
    • Maternity and paternity claims
    • Government-supported family care and childcare-related claims
    • Ensure timely and accurate documentation and submission of all statutory requirements.


    Leave Management

    • Administer and maintain the leave management system, including onboarding new employees to the system.
    • Handle day-to-day leave tracking, reporting, and queries.
    • Ensure proper offboarding processes, including leave reconciliation and system updates.


    2. Office Administration


    Office Administration & Relocation

    • Lead all office administration responsibilities, including managing the handover of the current office and preparation for relocation to the new office
    • Coordinate vendors, office branding, logistics, and operational requirements to ensure a smooth and timely transition.


    Workplace Management

    • Maintain a well-organized, safe, and welcoming office environment.
    • Oversee common areas, office supplies, pantry management, and overall workplace upkeep.
    • Ensure a positive visitor experience aligned with company standards.


    Operational & Administrative Support

    • Manage office mail, shipping, and deliveries, ensuring efficient handling and distribution.
    • Oversee office fire and safety procedures, including coordinating fire drills, maintaining compliance with safety regulations, and liaising with building management on emergency protocols.


    3. Employee Engagement & Culture

    • Organize and execute employee engagement initiatives and events to strengthen company culture and team connectivity across hybrid and remote teams.
    • Support People & Culture programs focused on employee experience, including wellness, inclusion & belonging, and community-building initiatives.
    • Coordinate logistics for meetings, training sessions, and company-wide events (virtual and in-person), including scheduling, materials preparation, and catering.
    • Assist in employee recognition programs, milestone celebrations, and engagement surveys.
    • Send personalized birthday greetings and support thoughtful employee touchpoints.
    • Support internal communications by drafting announcements, maintaining People & Culture content on internal platforms, and sharing key updates.
    • Assist with travel arrangements and support special projects as required.


    4. Additional Responsibilities

    • Undertake other duties and projects as assigned by the reporting manager.


    Requirements & Qualifications


    Experience & Education

    • Bachelor’s degree in Human Resources, Business Administration, or a related field.
    • Minimum 3–5 years of relevant experience in HR operations, office administration, or a combined HR & operations role.
    • Experience supporting multi-country SEA markets is highly preferred.


    HR & Operational Expertise

    • Strong understanding of HR processes, including recruitment coordination, onboarding, employee lifecycle management, and HR administration.
    • Basic understanding of employment laws and statutory requirements in Singapore and Malaysia; willingness to learn and gain exposure to other SEA markets.
    • Hands-on experience managing employee benefits, insurance, and vendor coordination.
    • Experience administering leave management systems and HRIS platforms.


    Project & Office Management Skills

    • Proven ability to manage office operations and coordinate vendors effectively.
    • Experience in handling office relocation is an advantage.
    • Strong organizational skills with the ability to manage multiple priorities and timelines.


    Communication & Interpersonal Skills

    • Excellent written and verbal communication skills, with the ability to interact effectively across all levels of the organization.
    • Strong stakeholder management skills, with a proactive and service-oriented mindset.


    Personal Attributes

    • Detail-oriented, organized, and highly dependable.
    • Proactive, resourceful, and able to work independently with minimal supervision.
    • Positive attitude with a strong focus on employee experience and culture building.
    • High level of integrity and ability to handle confidential information with discretion.


    Technical Skills

    • Proficient in Microsoft Office (Excel, PowerPoint, Word) and HR systems.
    • Experience with collaboration and communication tools (e.g., Slack, Teams) is an advantage.
