Job Purpose
To implement employee relations and services activities, advise employees on organizational matters relating to grievances, disciplinary issues, and performance, and participate in day-to-day HR operations and thereby support in the delivery of effective employee services.
Key Accountabilities
- Assist in providing advice to line managers on disciplinary actions arising from violations, poor performance, long term absence etc. to ensure they resolve problems and disputes as per the set HR policies and procedure while coordinating any deductions and the issuing of warning letters with the concerned functions at the company.
- Establish and maintain relationships with line managers to stay abreast of current and future employee relations issues to assist the line manager to improve employee relations services.
- Process and maintain employee data (compensation and benefits, performance results, promotions, job titles, personal information, etc.) to ensure that all files are kept up to date and that the administration of services conforms to applicable legal requirements and the company's HR policies and procedures.
- Process & maintain employee data related to Personal Medical Insurance. Assist staff in processing claims and follow-up up with the medical provider.
- Follow-up on the implementation of the annual performance appraisal cycle (including the midyear reviews) to ensure the proper adoption of procedures and forms by evaluators.
- Issue Employment Confirmation Letters to new joiners whom have passed the probation period and make all relevant administrative arrangements in order to guarantee alignment to the Performance Management System.
- Assist the line manager in reviewing HR policies pertaining to Separation, Grievance Handling, and Standards of Conduct, and participate in recommending improvements while ensuring compliance to legislation, and local labor laws and regulations.
- Assist in managing separation cases (due to termination, resignation, etc.) in coordination with the concerned employee’s line manager, conduct the exit interviews and record findings, and arrange for the issuance of all documents/ payments to ensure that the employee receives his/ her end of service entitlements.
- Follow all relevant departmental policies, processes, standard operating procedures, and instructions so that work is carried out in a controlled and consistent manner.
- Assist in the preparation of timely and accurate departmental statements and reports to meet department requirements, policies, and standards.
- Perform other related duties or assignments as directed.
Qualifications, Experiences, & Skills
- A Bachelor’s degree in Human Resources, Business, or any equivalent would be preferable.
- 4 - 8 years of experience in human resources
- Knowledgeable of HR principles including performance management, grievance handling, and separation.
- Excellent MS Office skills.
- Good and proven analytical skills.
- Strong communication skills.
- Strong interpersonal skills.
- Good knowledge of HR Management Information Systems and HR modules.
- Excellent team player and coordinator.
- Fluency in French language is a plus but not required.
- Excellent knowledge of the labor laws and regulations.
