Full-timeAdministrative, Finance +1

Our Client is a Luxembourg-based family office at the heart of an expanding pan-European real estate investment platform, with assets spanning Luxembourg and multiple European markets. Operating through a holding company structure with several newly established subsidiaries, the group combines entrepreneurial pace with institutional ambition.

They are seeking a highly capable and discreet Executive Assistant to serve as the operational backbone of both the principal's professional and personal world.

Your areas of responsibility:

  • Manage complex and dynamic diary and schedule coordination for the principal and family members
  • Oversee all travel logistics: research, booking, and coordination of travel across Europe and beyond, for the principal, family, and associated entities
  • Act as the principal's trusted representative in meetings and on-site when they are absent, relaying information accurately and, where appropriate, acting with delegated authority
  • Serve as the primary point of contact and coordination hub for household and office staff across the group's various entities, filtering communication before it reaches the principal
  • Liaise with teams across the group's real estate asset management entities, corporate functions, and external advisers (legal, property, operational)
  • Support the smooth day-to-day running of a growing Luxembourg-based organisation, including onboarding new staff members as the team expands
  • Anticipate needs proactively: flagging issues before they arise, resolving logistical challenges independently, and maintaining order across a fast-paced, multi-jurisdictional environment
  • Undertake occasional travel across Europe with the principal and/or family, with adequate notice provided

Your profile:

  • Minimum +5 years of experience in an Executive Assistant, Personal Assistant, or Chief of Staff capacity; ideally within a family office, private investment firm, wealth management environment, investment bank, or high-end legal or professional services firm. Private sector background is essential
  • Demonstrably autonomous and able to operate with minimal supervision, you are the person who gets things done
  • Absolute discretion and trustworthiness; you will be privy to sensitive family and business matters
  • Proactive, meticulous, and resourceful: you anticipate rather than react, and you find solutions rather than problems
  • Polished and emotionally intelligent; you interact with ease across a range of personalities, cultures, and seniority levels
  • Resilient and adaptable in a fast-moving, entrepreneurial environment with evolving priorities
  • Educated to degree level or equivalent; strong academic background is valued
  • Fluent in French and English (essential); Spanish is a meaningful additional asset
  • Based in Luxembourg or willing to relocate
