Project Scope:
- Reporting to the Director, 1GX Strategic and Operational Excellence, the Senior Project Manager is responsible for the coordination and completion of IT projects.
- Oversees all aspects of projects. Sets deadlines, assigns responsibilities, takes minutes, records any risks into the register, and monitors and summarizes progress of project. Builds and maintains working relationships with team members, vendors, and other departments involved in the projects. Prepares reports for upper management regarding the status of the project.
- The position is responsible for facilitating the decision-making process of executive management.
- Decisions need to be made based on the evidence of the situation, not based on theory relating to proposed and ongoing initiatives and projects. Most frequently, these situations do not have “case examples” as reference points and the decision process can be complex and exigent.
- The position interacts and consults with business clients, internal and external resources, the department’s management structure, and other stakeholders as required.
- The client replaced the legacy IMAGIS ERP Solution (MyAGent) with a new system (1GX) that was planned to reduce manual work,and duplication, and help support government teams with data and analytics. 1GX is one of the biggest transformations ever undertaken by the Client.
- 1GX is a modern Enterprise Resource Planning (ERP) system to manage our many business processes. The 1GX system did not bring complex scheduling and complex pay interpretation and this position is expected to lead the delivery of the project on behalf of the Business, Public Service Commission (PSC) and 1GX.
Duties:
- Experience in managing a Complex Human Resources Information System (HRIS) project(s) adhering to the legislated policy and guidelines within the Public Sector.
- Experience in documenting briefing notes or similar project status reports to the Executive Steering Committees at the Ministerial level.
- Proven track record of managing Project Resources efficiently to meet Project goals.
- Compile project charters and business/project plans to support activities, including the most suitable approach to be used in the development of each applicable project, to ensure business objectives and data integrity are achieved
- Manage project(s) that will document business requirements, design and deliver IT solutions that are compliant with and contribute to the Ministries’ enterprise architecture..
- Assist with the development of recommendations including providing details of resource requirements, dependencies, interdependencies, policy implications pertaining to internal/external influences and the methodology to be applied.
- Produce and package deliverables for presentation to various internal support teams, steering committee, and other project stakeholders.
- Manage multiple projects, project resources, and project governance.
- Work with project sponsors to ensure that effective project communication exists through the duration of the project including escalation of risks as required.
- Take responsibility for ongoing client satisfaction - manage peer-level client relationships and overcome hurdles to ensure win-win solutions.
- Collaborate with business and IT leadership to develop a well-defined project plan that clearly states the project’s objectives, scope, assumptions, timeline, resource requirements, risks, benefits, and budget.
- Work with project sponsors and the project management office to develop a project organization structure with clearly defined roles and responsibilities for all stakeholders.
- Document and report project status against established objectives, milestones, budget, and resources and facilitate tracking and closure of issues and risks.
- Develop project schedule plans and strategies, estimate resource requirements, develop and monitor work plans, and take corrective action for completion of project tasks.
- Provide guidance to project resources in establishing work priorities and prompt delivery of project tasks.
- Develop, as required, related requirements documentation.
- In collaboration with project sponsors, assess whether the project achieved stated outcomes and identify opportunities for improvement for future similar projects.
- Provide leadership and assistance to business and project teams that require change management and communication support.
- Work within the standards defined by the project management office and in the absence of standards work with the project management office to define new standards.
Equipment Requirements:
- The resource will require its own equipment
- The resource must provide their own computer and related equipment. The computer's operating system must be a modern version of Windows or MacOS that is compatible with Azure Virtual Desktop (AVD) and related software for remote access. Windows is preferred due to better compatibility. AVD/remote-related software will be installed on the resource's computer.
Working Hours:
- Standard Hours of work are 08:15 - 16:30 Alberta time, Monday through Friday excluding holidays observed by the Province
- Work must be done from within Canada, due to network and data security issues.
- This resource will primarily work remotely; however, the resource may be required to attend meetings or work sessions in the office on reasonable notice from the Province. At the time of providing such notice, the Province will advise of the expected duration of any such meetings or work sessions. However, time to travel and any associated expenses to and from Edmonton and/or travel within Alberta will be at no cost to the Province.
Notes on Location:
- The expectation is that the contractor located within the Edmonton area or nearby will attend meetings one or two times per month. The contractor located outside the province is expected to attend one meeting per quarter.
Mandatory Training Courses:
- Once hired the resource will be required to complete all mandatory training which includes but is not limited to Freedom of Information and Protection of Privacy Act and Security awareness training. There may also be some optional courses as well.
