Reporting to: Head of People Operations
Location: Remote – EST time zone- Please note that while the majority of the work is conducted remotely for non-local team members, all team members are expected to be available to attend key on-site events/activities 4 times per year. This includes things like onboarding, training , and team building - 'together days'. The onsite weeks are scheduled in advance travel expenses for those in-person times are covered by the business.
Hours: Full-Time- The core working hours for this role are 8:30AM - 5:00PM or 9:00AM - 5:30PM, Monday-Friday, however, as part of a global team there are occasional meetings with others across the US and in the UK which may require availability as early as 8am PT. We encourage flexible working patterns to accommodate this.
Salary: Annual $68,000 - $75,000 USD

The Role
We are looking for a motivated People Generalist to join the People team at Spektrix! Our People Team are trusted partners that provide the business with the policies, guidance and tools that enable teams to be high performing and individuals to be well supported throughout their careers at Spektrix.
The People Generalist is responsible for day-to-day administration of various people operations functions with a focus on both service delivery and process efficiency. Reporting to the Head of People Operations, this individual will be a vital member of the People team, supporting a variety of employment functions including, but not limited to: HRIS administration, new hire onboarding, employee questions / support, leave administration, team member changes and departures, and other related duties. Ultimately the success of this role is ensuring accurate and timely completion of functions related to employment administration, while providing a positive experience for team members through clear and thoughtful communications, thereby contributing to Spektrix's efforts in providing an extraordinary employee experience.
Key Responsibilities
- Provide an exceptional level of service to internal team members throughout their employment journey at Spektrix.
- Monitor and manage the HR inbox, providing first level assistance for inquiries/requests/employment letters, and forwarding escalated items to appropriate individuals for resolution.
- Collaborate with Talent Acquisition Partner and cross-functional departments (BizOps/CIT/Finance) to facilitate a seamless transition for US new hires during the pre-boarding through day 1 experience. This may include, but is not limited to: employment documentation prep, set up on HR-related platforms, conducting I-9 verification, and participation in new hire welcome sessions, educating and answering questions for new US team members about areas including benefits, payroll, HR systems and related topics.
- Support / facilitate processes related to employee changes (e.g. new role, dept, manager, home office, etc.), including tracking, system updates, and notification/collaboration with Payroll Manager.
- Assist with Visas/Immigration processing for international employees.
- Assist in the administration of US employee benefit programs (benefits/perks/retirement) including employee communications and education on offerings, enrollment support, vendor management, reporting, and compliance support.
- Administer the Leave of Absence processes for the US team members including the coordination of any external benefits, statutory requirements, and collaboration with payroll manager for any payroll changes.
- Provide support and guidance to team members throughout the employment life cycle as needed, assisting with inquiries related to benefits, leave, HRIS portal troubleshooting, and other general questions to ensure positive employee experience.
- Ensure accuracy and timeliness of all employee data and payroll adjustments into Human Resources Information Systems (HRIS).
- Ensure all relevant processes comply with federal, state, and local legal requirements by studying existing and new legislation and trends; advising and enforcing adherence to requirements.
- Demonstrate professionalism and consistency in what you say and do in order to build trust
- Evaluate and apply data to regularly inform decisions
- Seek new ways to improve processes, transactions, and outcomes, and provide recommendations to your manager as they arise; consistently meet project deadlines by creating and monitoring work plans.
You should have:
- At least one (1) full year in an HR / People Operations specific role
- A proven ability to manage a wide range of priorities including having been able to ensure that important urgent items don't get dropped, but also making sure that important items that aren't urgent still get moved steadily forwards.
- Experience navigating a fast moving, growing professional environment, with hands-on experience of the employee lifecycle from an HR perspective.
- Knowledge of HR practices and regulations within the US
- Demonstrated experience with one or more HR Information Systems (HRIS)
- Strong technical aptitude with high degree of proficiency in tools such as Microsoft Excel / Google Sheets, Docs, etc. and other web based applications
- Excellent interpersonal, organizational and verbal/written communication skills; strong attention to detail in written communications/data entry is vital
- Proactive, creative, and independent thinker with high energy/positive attitude.
- Ability and comfort maintaining sensitive / highly confidential information
- Strong problem-solving skills; can identify issues and make recommendations for courses of action
- Self-starter with strong sense of urgency – desire to meet employee needs in timely fashion
- Ability to provide explanations and reasons for the choices you make and the advice you provide

While most of our teams are based in our NYC, London, and Manchester offices, many of our team members regularly work from home. As a result, we operate with a "remote-first" approach, even when we're physically in the office.
We'll provide reasonable support and all the hardware you need to get started, but we do require that you have the following already in place for a good home working set up:
- A quiet working space at home where you can consistently take video calls without interruptions
- An internet connection that supports your participation in video calls and access to our systems and service.
- For 'local' team members (under 2 hours from the office), a stipend is offered for each day you work on-site. Think of it as our way of easing potential commute related costs (but no need to prove it - this is a perk we offer for days worked onsite, regardless of how you choose to get there).
- For remote-based team members ('non local'), Spektrix covers all work related travel expenses directly. There is no stipend, but flights, hotels for overnight stays, etc. are paid for through our work travel tool, TravelPerk, and/or reimbursed through an expense report where applicable.
