Comprehensive administrative assistance, meticulous document management, and the seamless coordination & support of HR Functions.
This role requires a versatile individual with exceptional organizational skills, a high degree of confidentiality, and the ability to manage complex scheduling and official correspondence effectively.
Responsibilities
- Prepare, format, and issue official employment-related documents,
- Maintain and update both physical and digital employee files, ensuring all mandatory documents—such as visas, passports, and identification cards—are valid, secure, and compliant with internal policies.
- Act as the primary contact for candidate logistics, managing the intricate scheduling of interviews between hiring managers and applicants, and maintaining clear, professional communication throughout the recruitment process.
- Maintain and monitor accurate trackers for probation periods, contract renewals, and document expiries to ensure zero compliance gaps and timely administrative action.
- Assist in gathering, organizing, and verifying documentation for internal or external audits to ensure all HR records meet required organizational standards.
- Identify opportunities to streamline administrative workflows, update HR templates, and assist in drafting formal internal communications to improve departmental efficiency.
Qualifications & Requirements:
- Education: Bachelor’s Degree in Human Resources, Business Administration, or a related field.
- Experience: Proven experience in HR administration
- Technical Skills: High level of proficiency in Microsoft Office, particularly Word (for document formatting) and Excel (for data tracking and reporting).
- Communication: Professional fluency in English (written and verbal) is essential for drafting official correspondence.
- Competencies: Exceptional multitasking and time management abilities, with a focus on meeting strict deadlines and maintaining a high level of attention to detail.
- Interpersonal Skills: High emotional intelligence and the ability to handle sensitive, confidential information with the utmost discretion.
