We are looking for a Project Finance Manager to support financial, operational, and grant management processes within Nova Ukraine’s education-focused programs, including the Nova Ukraine project portfolio and related initiatives.


This role ensures full financial lifecycle management of grants and projects, including budgeting, donor compliance, reporting, procurement coordination, and partner financial oversight. The position requires strong cross-functional collaboration with program teams, procurement, back-office, and external partners to ensure transparent, efficient, and compliant use of funds.

What We’re Looking For:

✔ 3+ years of experience in finance, accounting, audit, or project financial management

✔ Experience in donor-funded or NGO projects (strong advantage)

✔ Strong understanding of budgeting, financial reporting, and cost control mechanisms

✔ Familiarity with Ukrainian financial regulations and FOP-based cooperation models

✔ Experience working with multi-stakeholder environments (NGOs, contractors, donors, partners)

✔ Strong analytical skills and advanced proficiency in Excel / Google Sheets

✔ Fluency in Ukrainian and English (B1+).

✔ High attention to detail, accountability, and structured thinking

✔ Ability to manage multiple parallel projects in a dynamic environment


What You’ll Do:

✔ Financial Planning & Budgeting

- Develop and manage project budgets, forecasts, and financial plans

- Track expenditures and ensure alignment with approved budgets

- Prepare financial reports for internal management and donors

- Prepare and coordinate approval of sub-grantees budgets for variety of projects, ensuring compliance with donor-approved categories and funding rules

✔ Grant & Project Lifecycle Management

- Provide full lifecycle financial and operational support for grant cases, from initiation and approval through implementation and final closure

- Manage multi-step coordination across internal teams, partners, procurement, and back-office functions

- Ensure structured documentation and audit readiness across all stages

✔ Payments & Systems Management

- Maintain accurate financial records and documentation systems

- Partner Financial Oversight & Reporting

- Perform initial financial verification of partner reports against approved budgets and project structure

- Manage full internal auditors review cycle of partner and grantees reporting, including resolving discrepancies, coordinating corrections, and ensuring successful closure of cases

- Maintain and monitor Budget Tracker, aligned with approved categories

✔ Procurement & Operational Support

- Support end-to-end financial flow of procurement and distribution cases from initiation to closure (based on procurement and PM inputs)

- Ensure financial validation of procurement-related documentation and cost alignment

✔ Coordination, Communication with internal team and outside partners

- Work closely with Project Manager to ensure continuous alignment and fast issue resolution

- Provide advisory support to colleagues on partner reporting and financial verification processes

- Maintain budgets, reporting, and internal tracking systems

- Work with team members, ensuring effective communication and ensuring effective financial processes and systems


Would be a plus:

✔ Experience in education, humanitarian, or recovery-focused projects

✔ Familiarity with donor systems and reporting standards

✔ Experience with procurement-finance integration processes

✔ Understanding of cost allocation and multi-project financial structures


Work Conditions:
