Since the Russian invasion of 24th February, Ukraine has been subjected to heavy artillery bombardment, missiles, and air strikes, as well as the use of landmines and cluster munitions. The scale of the conflict and the use of high impact and indiscriminate weapons requires an urgent and extensive response. MAG seeks to save lives and build safer futures by providing risk education to communities, to help them stay safe. MAG is also in the process of seeking accreditation to start conducting explosive ordnance disposal and demining activities in Ukraine, to save the lives of people affected by the conflict.

About HR Assistant:

We are looking for an HR Assistant to manage the full staff administration cycle, including hiring, transfers, and terminations, as well as preparing HR documentation and maintaining personnel records and timesheets. The role also involves coordinating with the finance department on payments, preparing reports, and providing HR support and guidance to employees.


Responsibilities:

  • Maintaining the staff administration cycle (recruitment, transfer, relocation, leave, dismissal);
  • Participation in the preparation of HR documents (orders, employment contracts, additional agreements, certificates, etc.);
  • Formation, maintenance and archiving of personal files of employees;
  • Preparation of contracts for the provision of volunteer assistance and annexes to employment contracts;
  • Maintaining personal cards (P-2) and time sheets;
  • Maintaining the relevance of staff databases and registers, monitoring the availability of paper documents (original applications, orders, memos, etc.);
  • Interaction with the financial department on vacation, sick leave and other payments;
  • Preparation of internal reporting and analytics upon requests;
  • Providing advice to employees on HR issues;
  • Working with department correspondence.


Requirements:

  • Higher education (preferably in human resources management, law or economics);
  • Work experience in the field of personnel administration for at least 2 years;
  • Knowledge of Ukrainian labor legislation and vacation legislation;
  • Confident PC user (MS Office);
  • Experience working with HR programs (BAF will be an advantage);
  • Experience working in public or charitable organizations will be an advantage.
  • Languages:
  • Ukrainian — fluent (spoken and written);
  • English —
  • not lower than Upper-Intermediate.
