We are currently looking for an HR Coordinator to support our local HR team, as well as cover our HR Operations in other countries. This role requires fluency in both Polish and English.


Work model: Full-time, indefinite employment agreement


What You'll Do:

  • Structuring and organizing HR-related documents (collection of pre-onboarding documents, preparation of employment contracts, addendums, etc.) according to labor law requirements;
  • Provide support in onboarding, facilitate employee well-being, and ensure that the workplace is prepared for the first day;
  • Participate in the optimization of HR everyday processes;
  • Administer the Polish benefits platforms;
  • Manage various HR queries and follow-up activities ad-hoc if needed;
  • Ensure that the internal employee database is up-to-date and integrate information;
  • Collaborate and mentor team members by sharing knowledge and working on new projects;
  • Support the team in global HR projects that align with the global business strategy;
  • Cover HR Operations in one or two additional countries;
  • Collaborate with payroll providers, tax advisors, and other external parties;
  • Track if payroll data is integrated in an accurate way into the HRIS (salary increases, promotions, personal data changes, time-off, sick leave, etc.);
  • Ensure that all payroll-related events are tracked in a proper way and on time in order to meet payroll submission deadlines, including proper shift work and IP rights implementation;
  • Provide accurate and timely support in relocation projects by collecting necessary documents and ensuring a timely and appropriate action;
  • Manage relocations to Poland from start to finish in collaboration with the company’s external providers;
  • Ensure that residence and work permit renewals are handled on time;
  • Conduct regular audits of HR data and processes to ensure compliance and accuracy;
  • Support the HR manager in strategic HR projects, initiatives, and ad-hoc tasks;
  • Assist with structuring and organising accounting-related documents, such as invoices, and help prepare them for further processing.
  • Receive and sort incoming mail and manage outgoing mail;
  • Be the point of contact for all office-related queries (coworking space);
  • Organize and budget team activities and company events in Poland.


What We Are Looking For:

  • 3–5+ years of experience in HR Operations / HR Administration
  • Proven experience managing end-to-end employee lifecycle (onboarding, amendments, offboarding support)
  • Hands-on experience with payroll preparation and coordination (incl. working with external payroll providers)
  • Experience working with HRIS systems and maintaining high data accuracy


HR Knowledge & Compliance

  • Solid understanding of Polish labor law basics (contracts, working time, employment documentation)
  • Experience with payroll-related topics such as salary changes, absences, and reporting deadlines
  • Exposure to shift work and IP rights handling in payroll context is an asset


Language & Education

  • Fluent in English (C1) and Polish (native)
  • At least Bachelor's degree in HR Management or comparable studies
