Executive Secretariat & Office Management
- Provide confidential secretarial and administrative support to the Managing Director.
- Manage the Managing Director’s calendar, appointments, meetings, and official engagements.
- Prepare agendas, briefing notes, talking points, and presentation materials for executive meetings.
- Draft, review, and format official correspondence, memos, directives, and reports.
- Maintain an organized system for executive files, documents, and official records in compliance with government policies.
Coordination & Communication
- Act as the primary coordination focal point between the Managing Director’s Office and hospital departments.
- Ensure clear, timely communication of executive instructions, circulars, and decisions.
- Follow up with departments on assigned actions, deadlines, and submissions.
- Coordinate meetings, committees, task forces, and official workshops under the Managing Director’s Office.
- Liaise with external stakeholders including Ministry of Health officials, government agencies, and partner institutions.
Meeting Management & Follow‑Up
- Arrange and coordinate board meetings, executive committees, and senior management meetings.
- Record and prepare accurate meeting minutes, decisions, and action points.
- Monitor implementation of decisions and prepare follow‑up status reports for the Managing Director.
Reporting & Basic Analysis Support
- Compile departmental inputs into summary reports, dashboards, and progress updates.
- Track executive initiatives, strategic actions, and institutional priorities.
- Assist in preparing monthly, quarterly, and annual reports for government submission.
- Ensure accuracy and consistency of data and documentation submitted to leadership.
Confidentiality & Protocol
- Handle sensitive information, official documents, and communications with professionalism and discretion.
- Ensure adherence to government protocol, administrative procedures, and ethical standards.
- Support official visits, inspections, and VIP engagements coordinated by the Managing Director’s Office.
Qualifications and Experience
Education
- Bachelor’s Degree in Business Administration, Office Management, Health Administration, Public Administration, or related field (required).
- Secretarial or executive administration certification is an advantage.
Experience
- Minimum 5 years of experience as an Executive Secretary, Executive Assistant, or Coordination Officer.
- Experience in a government entity, public hospital, or healthcare institution is highly preferred.
