As part of your portfolio as Executive Office Assistant, you will be:
- Coordinate Office Management and Admin for MTN Group Fintech BV
- Proactively manage the relation with Group Fintech SA and Group Fintech BV in the supervision of Managing Director/CFO
- Support Corporate governance process and Board matters.
- Manage assigned Manager’s/Executive’s diary, and seamlessly plan his/her itinerary, schedule and meetings.
- Liaise with Finance Expenditure to ensure payments to third party suppliers in relation to expenses of the Manager’s/Executive’s office.
- Manage personal and Manager/Executive workload to ensure efficiency and effectiveness.
- Task Complexity: Indicates those KPA’s that are essential to the position itself. These are normally specific to the incumbent, the job, and the function. Excludes role and leadership / management.
- Office Administration and Management – involve overseeing the work for administrative tasks such as Office management, support HR processes and leave requests for employees under the Manager’s/Executive’s office, as well as making sure that everything is in place for the office to function smoothly. Tasks may include keeping up with office supply inventory, managing purchasing agreements and quotations, submitting expense claims etc.
- Manage the day-to-day administration of the assigned Manager’s/Executive’s office and diary with.Develop and maintain an efficient documentation and filing (electronic and hard) process.
- Write minutes of meetings and produce memos of such for review.
- Tactfully manage sensitive matters and information regarding peculiar issues within the department.
- Cross-examine documents for Executive’s review to ensure quality control and compliance to MTN policies.
- Handle assigned Manager’s/Executive’s internal and external designated correspondence.
- Collate monthly activity reports from the different units within the assigned department for the Executive’s review.
- Processes all requisitions for the Manager’s/Executive’s office.
- Performs quality control checks on Manager’s/Executive’s presentations, to ensure proper formatting and elimination of errors.
- Performs quality control checks on Manager’s/Executive reports, to ensure proper formatting and elimination of errors.
- Presenting in the absence of their Manager/Executive.
- Creating reports for Manager/Executive.
- Respond to customer queries and requests on non-technical issues and escalate to the Manager/Executive when necessary.
- Coordinate the organization of social events connected to the Manager’s/Executive’s office.This includes preparing cost estimates, managing the budgets and coordinating all activities for the success of the programme.
- Make efficient travel arrangements for the Manager’s/Executive’s office. Local and international, as well as personal travel.
- Discretion – privy to information that must be protected. Maintaining confidentiality and exercising discretion is essential for success in this type of role.
- Creation of Communications to OPCO’s; customers and team from Manager’s/Executive’s desk.
Supervisory / Leadership / Managerial Complexity:
- Efficient self-supervision to ensure smooth running of the office.
- Coaching future Administrative Professionals into the role with little guidance from Manager/Executive.
- Develop and maintain an effective and efficient document filing system (both electronic and manual).
- Develop and continually improve a document tracking system.
- Develop and maintain an effective time management or tracking tool (electronic or manual) to ensure smooth running of the office, as well as efficient completion of all tasks.
Vulnerabilities (control span)
- Sensitivity of documents and information into and from the Manager’s/Executive’s office.
- Difficulty in document tracking.
- Equipment availability.
- Room availability (where the Assistant does not directly control room bookings).
The “Must-haves” we look for in an incumbent
Education:
- Bachelor’s degree in Business Administration, Management, Communication, or a related field is preferred.
Experiences:
- Minimum of 2 years proven experience in a similar role/function within a professional organisation and reporting to the Business Unit Head or General Manager equivalent role.
- Proven experience as an Executive Assistant, Personal Assistant, or Personal Secretary.
- Strong experience in Board Office and Governance Processes
- Experience with a Telecommunications Organisation will be advantageous.
