We’re looking for someone proactive, detail-oriented, and solution-driven to join our team and make an impact.What You’ll Do:As the first point of contact for our internal clients (that’s all our awesome employees!), you’ll be the go-to person for all HR-related queries and requests. Your role is all about building relationships and facilitating smooth processes.

As the first point of contact for our internal clients (that’s all our awesome employees!), you’ll be the go-to person for all HR-related queries and requests. Your role is all about building relationships and facilitating smooth processes.

 

Newcomers and Leavers Management:•    Welcome new team members by preparing their employment contracts and ensuring everything is in order.•    Support our trainees by managing their agreements and answering their questions—making their onboarding smooth and enjoyable.•    Team up with the Payroll crew to present bi-monthly sessions on HR topics for newcomers.•    Keep the Payroll team in the loop with all relevant info about new hires and leavers.•    Handle affiliations and disaffiliations with social security authorities.•    Provide essential documentation for employees leaving the company, ensuring a positive offboarding experience.

Absences Management:•    Oversee employee time balances, including annual holidays, overtime, and various types of absences (sicknesses, extraordinary leaves, CIF, maternity leaves, parental leaves, etc)•    Be the go-to resource for employees with questions about their time off.

Data Management:•    Maintain and update our HR database, ensuring it reflects every change in our employees' journeys.•    Conduct monthly data quality checks to keep our records flawless—because details matter!•    Perform reconciliations on absence records to ensure everything aligns perfectly.•    Ensure compliance with internal audit requirements related to new hires, mobility, and leavers.•    Provide Talent Business Partners with key time metrics to help them manage their teams effectively.

Immigration Support:•    Connect with future colleagues who need visas or work permits, guiding them through the process.•    Collaborate closely with the Recruitment team to keep everyone updated on the status of open files.

Other Responsibilities:•    Handle bi-monthly luncheon voucher orders and manage addendums to employment contracts.•    Participate in Health@Work initiatives, including medical checkups and vaccination campaigns.•    Get involved in various HR projects that interest you!

 

We offer: What we look for 🕵️

•    A Bachelor’s degree in Human Resources or Business Administration.•    At least 1 year of experience in HR administration—experience matters!•    Solid knowledge of Luxembourgish labor law and social security.•    Proficiency in MS Office, especially Excel, with exceptional attention to detail.•    Excellent organizational skills and adaptability to manage diverse tasks.•    A proactive, solution-oriented mindset with a strong sense of ownership.•    Attention to detail to ensure data quality and accuracy.•    Excellent organizational and communication skills, with the ability to manage diverse responsibilities.•    A team player who thrives in a collaborative environment with a squad of five.•    Fluency in English; French is a big plus!
