Position Title: AI Business Associate
Location: Barangaroo, NSW, Australia
Position Overview
Xceedance Australia is seeking a highly motivated, detail-oriented, and AI-fluent Executive & Business Development Associate to join our Barangaroo team. This is a hybrid role that begins with a strong focus on administrative, HR coordination, and IT liaison responsibilities all delivered with an AI-first mindset while progressively expanding into Business Development (BD) and Client Partner activities.
The ideal candidate is proactive, commercially curious, and eager to grow into a client-facing BD/Client Partner role. They are not just comfortable with AI tools they actively seek them out, experiment with new capabilities, and use them to deliver work faster and smarter. This position offers a structured pathway to take ownership of client relationships, business development pipelines, and strategic growth initiatives within the insurance services sector.
Key Responsibilities
1.Administrative & Office Operations
- Provide executive-level administrative support to senior leadership and the country head.
- Manage calendars, coordinate internal and external meetings, and prepare agendas and meeting minutes.
- Handle day-to-day office management tasks including correspondence, documentation, filing, and vendor coordination.
- Maintain organised records of contracts, NDAs, and business agreements.
- Coordinate travel arrangements, expense reporting, and logistics for leadership and client visits.
- Act as the primary point of contact for office operations and facilities at the Barangaroo office.
✦ AI Application — Admin & Operations
- Use Copilot for M365 or ChatGPT to draft correspondence, summarise meeting notes, and auto-generate action item trackers.
- Leverage AI scheduling assistants to optimise calendar management and reduce coordination overhead.
2. HR Coordination
- Support end-to-end recruitment coordination including job postings, candidate screening, interview scheduling, and onboarding.
- Maintain employee records, HR documentation, and compliance files in accordance with Australian employment regulations.
- Assist in performance review cycles, leave management, and HR reporting.
✦ AI Application — HR Coordination
- Use AI writing tools to draft and refine job descriptions, candidate communications, and onboarding documentation.
- Automate leave tracking, HR reporting, and compliance reminders via integrated workflow tools.
3.IT Liaison & Coordination
- Serve as the local point of contact between employees and the global IT/technology team for hardware, software, and systems support.
- Coordinate IT onboarding and offboarding provisioning of devices, access credentials, and software licences.
- Track and manage IT asset inventory for the Australia office.
- Escalate and follow up on IT issues and service requests, ensuring timely resolution.
- Support the rollout of new tools, platforms, and system upgrades at the local office level.
4.Meeting Coordination & Actionable Follow-Through
- Organise and facilitate internal team meetings, client calls, and cross-functional workshops.
- Prepare meeting packs, presentations, and briefing notes for leadership and client engagements.
- Capture meeting action items, track deadlines, and ensure follow-through across stakeholders.
- Proactively identify coordination gaps and implement process improvements to enhance operational efficiency.
5.Business Development & Client Partner (Growth Track)
As the incumbent demonstrates capability and initiative, responsibilities will progressively expand to include:
- Assisting with market research, competitor analysis, and identification of new business opportunities in the Australian insurance market.
- Supporting the development of proposals, pitches, and RFP responses for prospective clients.
- Building and nurturing relationships with key stakeholders insurers, brokers, and reinsurers through regular engagement and professional communication.
- Attending industry events, conferences, and networking forums on behalf of Xceedance Australia.
- Managing existing client accounts, ensuring satisfaction, and identifying upsell or cross-sell opportunities.
- Taking ownership of the BD/Client Partner role as the transition matures driving revenue, managing key accounts, and contributing to the regional growth strategy.
- Leveraging AI tools to design, prototype, and deploy smart business applications including client-facing portals, data ingestion pipelines, and workflow automation tools without requiring deep technical development resources.
Qualifications & Experience
Essential
- Bachelor's degree in Business Administration, Commerce, HR, IT, or a related field.
- Exposure to the insurance industry — familiarity with terms such as underwriting, claims, broking, or reinsurance.
- 1-3 years of experience in an administrative, operations, or coordination role preferably in a professional services, consulting, or technology environment.
- Demonstrated ability to manage multiple priorities and stakeholders in a fast-paced environment.
- Strong verbal and written communication skills with a professional and polished presentation.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Teams, Zoom, SharePoint).
- High attention to detail and a structured, organised approach to work.
Desirable
- Prior experience in a client-facing, BD support, or sales coordination capacity.
- Experience working in a global or matrix organisation.
- Familiarity with CRM platforms and project management tools like DevOps or Jira.
- An interest in technology, AI, data sciences, or insurtech.
- Experience with AI workflow automation tools such as Power Automate.
