HR Operations Specialist – Poland & Germany (Hybrid) or (Remote)

📍 Location: Wrocław, Poland

📄 Contract: 12-Month Fixed-Term Contract (with potential for extension/permanent employment)


Are you an experienced HR professional with strong expertise in HR administration and payroll processes across Poland and Germany? We are looking for a detail-oriented HR Operations Specialist to join a dynamic EMEA HR team supporting employees and managers across both countries.


Key Responsibilities

  • Act as the primary point of contact for employee and manager HR-related queries, providing guidance on policies, payroll, benefits, contracts, and HR processes.
  • Manage employee requests and cases through a case management system across multiple communication channels.
  • Support the full employee lifecycle, including onboarding, contract administration, employee changes, benefits administration, leave management, and offboarding activities.
  • Prepare, validate, and coordinate payroll inputs for Poland and Germany, ensuring accuracy and compliance.
  • Maintain accurate employee records and ensure all HR transactions meet quality and compliance standards.
  • Partner with HR teams, payroll providers, and stakeholders to deliver a seamless employee experience.
  • Contribute to process improvement and operational excellence initiatives.


Requirements

  • Fluent in Polish, German, and English.
  • Experience within HR Operations, HR Shared Services, or HR Administration.
  • Strong knowledge of HR administration and payroll processes in both Poland and Germany.
  • Experience working with payroll systems and HR case management tools.
  • Understanding of local employment legislation and payroll principles.
  • Excellent attention to detail, organisational skills, and the ability to manage multiple priorities.
  • High level of professionalism, confidentiality, and data privacy awareness.


Preferred

  • Experience supporting multi-country EMEA HR operations.
  • Exposure to HR technology, automation, or AI-enabled HR tools.
  • Experience collaborating with external payroll providers and vendors.
