Job Title: HR & Admin Assistant

Location: Dubai

Reports to: HR Manager


Job Summary

We are seeking a proactive and detail-oriented HR & Admin Assistant to join our team. The ideal candidate will have a dual role, efficiently managing administrative and reception duties while supporting recruitment and other HR functions. This position requires excellent interpersonal skills, multitasking abilities, and a strong understanding of HR processes.


Key Responsibilities


Administrative & Reception Duties:

  • Greet and assist visitors, clients, and employees with professionalism.
  • Manage front desk activities, including answering phone calls, handling correspondence, and directing inquiries appropriately.
  • Oversee office supply inventory and place orders as necessary.
  • Coordinate and schedule meetings, appointments, and travel arrangements.
  • Maintain office cleanliness and ensure a well-organized workspace.

Recruitment Support:

  • Assist in drafting and posting job advertisements on various platforms.
  • Screen resumes and coordinate interviews with shortlisted candidates.
  • Maintain and update candidate databases and track recruitment progress.
  • Support the onboarding process, including document collection, orientation, and system setup.

General HR Support:

  • Assist with employee records management and ensure compliance with data protection policies.
  • Coordinate employee engagement initiatives and events.
  • Support payroll processing by collating attendance and leave records.
  • Respond to basic HR queries from employees and escalate complex issues when necessary.
  • Assist in drafting HR policies, procedures, and documentation.

Additional Responsibilities:

  • Support training and development initiatives, including scheduling sessions and preparing materials.
  • Assist in performance management processes by collating appraisal documentation.
  • Handle ad hoc projects and tasks assigned by the HR Manager.

Qualifications & Skills

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • 1-3 years of experience in HR or administrative roles.
  • Familiarity with recruitment tools and HR systems (e.g., ATS, HRIS).
  • Excellent organizational and time-management skills.
  • Strong interpersonal and communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office tools.
  • Ability to handle sensitive information with confidentiality.
