- Purpose of the role:
The role is focused around the PMO function within a Program; where the Project
manager will be involved (executing) and supporting: Project managers, strategic
alignment with organizational goals, projects and program master schedule
management , project planning, , risk management, quality assurance, reporting,
performance monitoring, knowledge sharing, and continuous improvement on the
existing project management practices.
- Main responsibilities:
- Project Management: Work with the PMO manager and ensure the project management best practices and processes are embedded in the PMO and are aligned to the Program Management. Stand-in and support when another project manager is on leave.
- Project Scheduling: Develop (for assigned projects) and maintain a detailed and realistic project schedule for each project within the program. Ensure that the schedule is well-structured, incorporates dependencies, and accurately reflects task durations and resource allocation, resulting in a comprehensive master schedule of the program.
- Resource Allocation: Collaborate with project team to prepare job descriptions for new roles and support in the allocation of resources across the projects efficiently based on the project schedule and requirements. Monitor resource availability and utilization to ensure projects are adequately staffed.
- RAID Log Management: Oversee the RAID log (Risks, Assumptions, Issues, Dependencies) for each project and maintain the Program’s one. Regularly update and analyze the log, identifying potential risks and issues, assessing their impact, and developing proactive mitigation and resolution plans.
- Reporting and Dashboards: Utilize strong reporting skills to create comprehensive project status reports and dashboards. These reports should highlight key performance indicators, project milestones, risks, issues, and the overall health of the program.
- Quality Assurance: Ensure that projects adhere to established quality standards and best practices. Monitor project performance against predefined metrics and promptly address any deviations.
- Budget Management: Monitor project budgets and expenditures, ensuring adherence to allocated resources and making adjustments and recommendations to management/leadership when necessary.
- Risk Mitigation and Issue Resolution: Proactively identify potential risks, log them, devise mitigation plans, and facilitate timely resolution of project issues to keep the program on track; escalade project-level risk into the Program Management.
- Cross-Project Collaboration: Encourage collaboration and knowledge sharing among project teams, enabling collective learning and maximizing the efficiency of the program.
- Qualifications:
- Bachelor's degree in a relevant field such as Project Management, Business Administration, Computer Science, or Engineering.
- Advanced degrees or certifications such as PMP (Project Management Professional) or PRINCE2 (Projects in Controlled Environments) may be preferred for senior positions.
- Experience:
- Proven experience as a Project Manager, preferably with experience in leading digitalization or IT projects.
- Experience in managing complex projects with diverse stakeholders and tight timelines.
- Prior experience in a PMO role or overseeing a portfolio of projects is advantageous.
- Skills:
- Project Management: Strong project management skills, including planning, organizing, and controlling project activities to achieve defined objectives.
- Communication: Excellent verbal and written communication skills to effectively convey project status, risks, and issues to stakeholders at all levels.
- Leadership: Ability to lead and motivate project teams, fostering a collaborative and productive work environment.
- Risk Management: Skill in identifying and mitigating project risks to ensure successful project outcomes.
- Budget Management: Ability to manage project budgets and resources efficiently to meet project goals.
- Problem-Solving: Strong analytical and problem-solving skills to address challenges and find creative solutions.
- Technical Aptitude: Familiarity with digital technologies and tools relevant to the program, enabling effective communication with technical teams.
- Adaptability: Flexibility to adapt to changing project requirements and priorities while maintaining a focus on project objectives.
