Opportunity

HR Documentation Specialist to support in cleaning, organizing and updating HR documentation in our archive. The role must ensure our records are accurate and moved correctly to the new digital archive and new archive vendor.

As part of the EDM project, there is a need to sort out (scan, sort out, digitalize) HR paper documentation stored in T7 building in Västerås and in our external archiving vendor.

How You’ll Make An Impact

  • Review and analyze existing HR documentation to ensure compliance with company policies and legal requirements.
  • Organize and categorize archived documents, identifying outdated or duplicate records.
  • Update, label, and digitize physical and electronic files for better accessibility.
  • Collaborate with HR team members to ensure proper handling of sensitive information.
  • Build a new, improved process for archiving
  • Prepare reports on progress and propose improvements to the document management process.

Your Background

  • 3+ years of experience in HR operations, compliance, or HR administration, with a focus on document management tools
  • Strong understanding of HR policies, labor laws and compliance requirements and knowledge of GDPR and data protection regulations related to HR documentation.
  • Experience in managing employee records, contracts and HR documentation in structured and compliant manner
  • High attention to detail and accuracy in handling sensitive employee data
  • Strong written and verbal communication skills, with fluency in Swedish and English
