Job Summary:

Our client a Digital Marketing Agency, is seeking a Human Resources Coordinator. You will be responsible for managing both HR functions and administrative duties to ensure the smooth operation of the business. This dual role involves overseeing recruitment, onboarding, employee relations, compliance, maintaining HR records, and handling various administrative tasks such as office management, vendor coordination, and compliance.


Key Responsibilities:


Human Resources:

Recruitment and Onboarding:

  • Manage end-to-end recruitment processes, including job postings, screening, interviewing, and hiring.
  • Coordinate and facilitate employee onboarding, including orientation, paperwork, and training.
  • Maintain an updated database of candidates and job applicants.


2. Employee Relations:

  • Serve as the primary point of contact for employee queries and concerns.
  • Foster a positive and inclusive workplace culture by organising employee engagement activities.
  • Handle employee grievances, disciplinary actions, and conflict resolution.


3. HR Policies and Compliance:

  • Ensure compliance with local labour laws and company policies.
  • Assist in developing, updating, and enforcing HR policies and procedures.
  • Maintain employee records, including contracts, performance reviews, and attendance.
  • Ensure strict compliance with GDPR and data protection regulations when handling employee records and personal data.


4. Performance Management:

  • Assist in the implementation of performance appraisal systems.
  • Support managers in conducting performance evaluations and feedback sessions.
  • Track and report on key HR metrics such as employee turnover, absenteeism, and performance trends.


5. Training and Development:

  • Identify training needs and coordinate employee development programs.
  • Manage training schedules and track employee progress.


Administration:


Office Management:

Oversee day-to-day office operations, including facility management, supplies,

and maintenance.

  • Coordinate with vendors, suppliers, and service providers for office needs.
  • Ensure a clean, organised, and efficient office environment.


2. Travel and Event Coordination:

  • Arrange travel and accommodation for employees and management.
  • Plan and organise company events, meetings, and conferences.


3. Documentation and Filing:

  • Manage the filing system for both HR and administrative documents.
  • Prepare and process various reports, memos, and correspondence as needed.


4. Budgeting and Procurement:

  • Assist in the preparation and monitoring of the HR and office administration budget.
  • Oversee the procurement of office supplies, equipment, and other essentials.


5. Health and Safety:

  • Ensure compliance with health and safety regulations in the workplace.
  • Manage emergency preparedness plans and conduct safety drills.


Qualifications & Requirements:

  • Education: Bachelor’s degree in human resources, Business Administration, or arelated field. Certification in HR is a plus.
  • Experience: 2-4 years of experience in HR and administrative roles. Experience in a start-up or fast-paced environment is a plus.


Skills:

  • Strong knowledge of HR principles and practices.
  • Excellent organisational and multitasking abilities.
  • Proficiency in HR software and Microsoft Office Suite (Word, Excel,PowerPoint).
  • Strong communication and interpersonal skills.
  • Problem-solving and decision-making capabilities.
  • Ability to handle confidential information with discretion.
