Project Coordinator Job Description:
Key Responsibilities:
- Project Coordination:
- Assist in the development and management of project timelines, budgets, and milestones.
- Coordinate project schedules with contractors, vendors, and stakeholders.
- Track and monitor project progress, ensuring all tasks are completed on time.
- Communication Management:
- Serve as a liaison between the project manager, subcontractors, vendors, and other stakeholders.
- Facilitate communication to ensure all parties are aligned on project scope, progress, and deadlines.
- Handle the distribution of project updates, change orders, and RFIs (Requests for Information).
- Documentation Management:
- Maintain accurate records of contracts, budgets, change orders, invoices, and project correspondence.
- Prepare and update project status reports for stakeholders and management.
- Ensure that all required permits, legal documents, and safety certifications are in place.
- Budget and Cost Control:
- Assist in managing project budgets and financial reporting.
- Track and approve expenses related to construction materials, labor, and equipment.
- Identify cost overruns and work with the team to find solutions.
- Risk and Issue Management:
- Proactively identify potential project risks and challenges, including delays, safety hazards, and resource shortages.
- Assist with troubleshooting and resolving any project-related issues or conflicts.
- Help implement strategies for risk mitigation and timely resolution of problems.
- Procurement and Vendor Management:
- Assist in sourcing and procuring materials, equipment, and services needed for the project.
- Ensure timely delivery of supplies and equipment to avoid delays.
- Monitor vendor performance and address any concerns related to the delivery of services.
- Quality Assurance:
- Ensure all work is completed according to industry standards, building codes, and safety regulations.
- Monitor the quality of work performed by contractors and subcontractors.
- Report any deviations from project specifications and work to resolve issues.
- Site Visits and Inspections:
- Attend site meetings and regular inspections to monitor the progress and quality of work.
- Ensure the construction site complies with safety protocols and regulations.
- Provide reports on site activities and issues to project managers.
Required Skills and Qualifications:
- Education:
- Bachelor’s degree in Construction Management, Civil Engineering, or related field (or equivalent work experience).
- Experience:
- 2-5 years of experience in construction project coordination or a similar role.
- Familiarity with construction project management software (e.g., Procore, Builder trend).
- Knowledge of building codes, safety regulations, and industry standards.
- Skills:
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to work well under pressure and meet tight deadlines.
- Proficient in Microsoft Office Suite (Excel, Word, Project).
- Ability to manage multiple tasks and priorities simultaneously.
- Strong problem-solving skills and decision-making abilities.
- Certifications:
- OSHA certification or similar safety-related certifications (preferred).
- Project Management Professional (PMP) certification (preferred).
Physical Requirements:
- Ability to visit construction sites regularly and navigate construction environments.
- Ability to sit or stand for extended periods and lift up to 25 lbs (if necessary).
Work Environment:
- Office-based with regular site visits to construction projects.
- May involve working outside in various weather conditions.
