We are currently hiring a HR Assistant to join our team on a permanent position. Their main purpose would be to support the HR Team with the day-to-day operations of the HR functions, ensuring IPRS HR policies & procedures are implemented, adhered to and maintained at all times. Leading on all Lot specific HR admin functions.

Position:

Main job duties:

  • Handle general HR queries via email, phone, and in person, escalating to the HR Business Partner or Advisor when necessary.
  • Manage the onboarding process, including contracts, forms, ID verification, DBS, BPSS, Right to Work, VISA’s and references.
  • Support with payroll changes such as leavers, starters, variations, and manage contract amendments including role, hours, salary, and manager changes.
  • Assist in interviews by taking notes, managing selection, and supporting hiring managers.
  • Support line managers with probation reviews, outcome letters, absence tracking, and long-term sickness cases.
  • Use Cezanne HR for onboarding, internal letters, record-keeping, managing client data requests and regularly update and submit spreadsheets to the Prime Provider.

Ad hoc duties:

  • Keep team trackers, spreadsheets, and the HR inbox up to date while handling general administrative tasks like ID cards and stationery orders.
  • Educate managers on legislative changes and support them with all HR processes from recruitment to end of employment.
  • Assist with VISA processing, tracking, and management while maintaining confidentiality and compliance.
  • Build strong relationships with colleagues, managers, and business heads, while carrying out additional duties as assigned by the HR Business Partner.

Requirements:

Essential qualifications:

  • 4 GCSE/O level passes A-C or equivalent, including English and Maths; (E)
  • CIPD Level 3 qualified or working towards (D)

Experience and knowledge:

  • Experience of working in an administrative / human resource department (E)
  • Experience of using various Microsoft programmes and databases (E)
  • Possess good awareness of employment law (D)
  • Experience in dealing with confidential and sensitive data (D)

Skills and abilities:

  • Clear, strong written and verbal communication skills, including a friendly telephone manner.
  • Keen attention to detail with accurate information recording and mathematical calculations.
  • Ability to prioritize tasks, meet deadlines, and work independently with minimal supervision.
  • Effective communication with internal and external customers in a proactive and methodical manner.

Other information:

Salary: £25,396.80 per annum

Location: Remote

Job Type: PERMANENT FULL TIME

Hours: 40 per week

Working Pattern: Monday to Friday 8.30 to 17.00
