As a Senior Human Resource Executive, you will support and execute day-to-day HC operations in alignment with the company’s Human Capital strategy, mission, and vision. Reporting to the Senior Manager, you will be responsible for delivering comprehensive HC support across various functions, enabling employees to contribute effectively and productively toward the achievement of company goals.
Human Capital Operations
- Manage the full spectrum of Human Capital functions and support HC initiatives to enhance employee engagement and organizational effectiveness.
- Ensure accurate and timely maintenance of employee records and the Human Capital Information System.
- Liaise with HC outsourced vendors and provide general HC administrative support as required.
- Assist in implementing and communicating local HC policies, procedures, and programs in accordance with applicable laws and internal guidelines.
- Support in HC audits and compliance reviews, ensuring proper documentation and adherence to audit requirements.
Talent Acquisition & Onboarding
- Manage the end-to-end recruitment process, including job postings, resume screening, interview scheduling, reference checks, and coordination of third-party background screenings.
- Work closely with hiring managers to understand manpower needs, develop job descriptions, and support hiring strategies.
- Maintain recruitment records and provide regular updates on hiring progress and headcount status.
- Liaise with external recruitment partners or platforms as required.
- Coordinate onboarding activities to ensure a smooth and structured experience for new hires, including:
- Conducting new hire orientation
- System setup and activation
- Activate iRequest to initiate provisioning of employee access by the IT team, including VDI, system logins, security access
- Submission of documents to HC vendors
- Ensuring smooth access to necessary tools and resources
- Serve as the key contact point for new hires during their onboarding phase.
Employee Lifecycle Management
- Manage lifecycle activities such as confirmation, transfers, promotions, contract renewals, and offboarding.
- Handle employee-related documentation, including preparation of letters, agreements, and updates in HCIS (e.g., BIPO) accurately and promptly.
- Coordinate and support the performance appraisal process and related performance management activities.
- Support employee engagement initiatives and internal HC communications.
Offboarding & Exit Management
- Facilitate the offboarding process to ensure proper closure and compliance. Key responsibilities include:
- Updating HCIS and internal records for leavers
- Coordinating with the payroll vendor for final salary computation and statutory clearances
- Preparing and tracking exit clearance forms
- Activate iRequest to initiate the removal of system and security access rights
- Supporting exit interviews and capturing feedback for internal improvement
Payroll & Benefits Administration
- Liaise with outsourced payroll vendors to process monthly payroll and ensure accuracy and statutory compliance.
- Support the administration of employee benefits, including insurance, leave, medical, and claims.
- Handle work pass applications, renewals, cancellations, and all related transactions on relevant government portals.
HC Data Management & Reporting
- Generate and maintain accurate HC reports, dashboards, and working templates for internal use and submission to HQ.
- Support the preparation of HC analytics, budget reports, and workforce metrics for management review.
- Participate in statutory/labour market surveys and other headcount-related exercises.
Learning & Development Support
- Provide administrative support for training and development activities, including course registration, maintaining training records, and ensuring proper documentation.
- Process training invoices, expense claims, and government funding/subsidy applications promptly.
Requirements:
- Diploma or Degree in Human Capital Management, Business Administration, or a related field.
- Minimum 3 years of experience in a Human Capital function, preferably in a fast-paced or regional environment.
- Ability to handle confidential information with integrity and professionalism.
- Strong understanding of local employment legislation, payroll, and benefits practices.
- Strong time management skills, able to effectively prioritize tasks and manage competing deadlines to ensure timely completion of all responsibilities.
- Good interpersonal and communication skills, with a proactive and team-oriented mindset.
- Display a high level of professionalism to all stakeholders, both internal and external.
- High level of enthusiasm, motivation, drive, and perseverance.
- Ability to work independently within a team environment.
