POSITION PURPOSE:
The HR Trainee is responsible for managing the implementation of HR Admin activities in line with Sephora HR processes & policies. Moreover, you will support the Employee Experience team in driving engagement, communications, and administrative tasks that enhance our Sephorans' workplace experience.
KEY RESPONSIBILITIES:
- Liaise with the applicants on completing the necessary recruitment documents required for issuing the employment contract.
- Ensure relevant and required staff documents are scanned and placed on the sharing folder/HRMS at Sephora.
- Guide new joiners on joining their stores.
- Arrange medical insurance cards for employees and their dependents as per the company policy.
- Ensure all employees medical insurance is cancelled based on the LWD and inform the insurance company for credit note.
- Assist the People Partners HQ in filling the recruitment tracker, shortlisting candidates and arranging for interviews with respective panel accordingly.
- Update all relevant organizational charts and communicate with the People Partners HQ.
PROJECTS & OTHER:
- SMAC (Sephora Middle East Annual Convention).
- Track RSVPs, update event reports, and help with on-the-ground support during the event days.
- Contribute creative ideas to enhance Employee Experience activities.
- Track all probation period and ensure they are closed on time by completing the probation period assessment form and confirmation/probation extension letter is disbursed from HR to the employee accordingly whether the probation is extended, or the employee is confirmed.
- Assist the HR team in arranging venue & hotel booking, advertisements, etc.
- Assist HR team in any admin activities as requested.
- Cover the duties of People Partner HQ in absence.
SKILLS, QUALITIFCATIONS & PERSONALITY:
- 1 to 2 years of experience in HR Operations role including HR Services & Employee Deployment.
- Desired experience in retail or fashion industry.
- Excellent verbal and written communication skills to effectively execute their duties and to facilitate smooth and effective communication with employees.
- Helpful and service-oriented, have an ability to work under pressure and be able to be discreet when dealing with confidential information.
- Must also be self-motivated, proactive going beyond the call of duty and result oriented.
- Proficient in MS Word, MS Excel, and PowerPoint, which are all necessary to create visually and verbally relevant required materials and reports.
- Ability to manage data and handle with confidentiality.
- Good organizational and time management skills.
