Akvelon is looking for a full-time Office Manager to work in our office in Poland, Krakow.

Tasks

In this position, you will be expected to perform office duties such as organizing company events, administrative support for colleagues, and in general making sure that the office is running smoothly.


Requirements

- Fluent and excellent communication skills in English (C1);


- Polish language at an intermediate level (B1);


- Good knowledge of MS Office packages and tools for remote work (Slack, Outlook, Excel, Jira);


- Experience working with Google Docs, Google Sheets, and other -Google Workspace applications;


- Able to be in the the office on daily basis;


- Organizational skills, and responsibility.


Nice to have:


- Experience in working in a remote/hybrid company;


- 2+ years of experience in a similar position, preferably in an organization with international, multicultural experience and in the growth phase;


- Very good organization of your own work and space around you;


Awareness that cordiality and the ability to build good relationships with colleagues is the key to success in this role;


- Communicative Russian language skills (B1-B2) is a plus.


Responsibilities:


- Providing administrative support (scheduling appointments, maintaining office supplies, etc);


- Oversee the day-to-day operations of the office space (coordinating repairs, managing office equipment, and overseeing office security);


- Personnel management tasks such as conducting orientation for new employees, and managing employee records;


- Monitoring and controlling office expenses, preparing financial reports, and coordinating with the finance department;


- Planning and coordinating company events (meetings, conferences, parties, etc) which includes arranging venues, managing logistics, coordinating with vendors, and ensuring the smooth execution of the events;


- Maintaining files, records, and databases, as well as ensuring compliance with data protection and privacy regulations;


- Improvement of the office efficiency and productivity;


- Supervise and provide support to administrative staff (assign tasks, provide guidance and training, and foster a positive and productive work environment).
