Administrative assistant to the HR team

We are looking for an administrative assistant to the HR team for one of our clients, a prestigious international bank located in Luxembourg. This position is to be filled for an initial 2-month contract, with the possibility of extension. Your Responsibilities

  • Oversee the secretariat for all internal HR procedures managed by the Division, including:
    • Organizing and maintaining the Administrative Review mailbox, following up on received emails, and assisting legal experts in drafting appropriate replies.
    • Updating and maintaining tracking tables for various procedures to ensure accuracy and completeness.
    • Supporting legal experts in the preparation of legal documents related to HR procedures.
  • Prepare documents, make photocopies, and handle diverse administrative requests in accordance with the Division's operational requirements and EIB’s procedures.
  • Ensure proper record-keeping, documentation, and data quality, including the preparation, filing (manual and electronic), and maintenance of databases, while adhering to strict confidentiality standards.
  • Coordinate reporting process by sending reminders, collecting and centralizing data, following up on submissions, and ensuring the completeness of information.
  • Collaborate with other assistants within the Directorate and provide backup support when needed.
  • Perform any additional administrative tasks as required.
Your Profile

  • Secondary education
  • A minimum of 3 years of relevant experience in an HR or legal administrative role, with exposure to handling confidential and legal matters.
  • Strong ability to uphold and ensure confidentiality at all times.
  • Proficient in the standard software tools, particularly GED and Microsoft Office applications (Word, Excel, PowerPoint).
  • Fluent in English and French; knowledge of additional European Union languages is an asset.
