Position Summary
Smart Education is seeking a highly organized and detail‑oriented Software Project Coordinator to support the successful planning, execution, and monitoring of software development activities across multiple agile squads. This role plays a central part in ensuring sprint continuity, cross-team coordination, timely updates on product progress, and strong alignment between business objectives and software delivery.
Role Overview
The Software Project Coordinator plays a vital role in aligning development execution with the company’s technology strategy. This role ensures that the software development lifecycle runs smoothly by supporting coordination across multiple squads, managing sprints, monitoring team performance, and reporting on project status. The coordinator will serve as a cross-functional bridge between software engineering teams, digital support units, and executive management.
Key Responsibilities
1. Agile & Sprint Coordination
- Coordinate day‑to‑day sprint execution activities across multiple software squads (Frontend, Backend, QA, DevOps).
- Track task assignments, Jira board updates, sprint dashboards, developer workload, and progress.
- Support Sprint Planning, Daily Stand-Ups, Sprint Review, and Retrospective preparation.
- Ensure that sprint tasks align with product roadmaps and release plans.
- Monitor developer allocation, sprint contributions, performance KPIs, and team velocity.
2. Reporting, Dashboards & Executive Communication
- Prepare clear, structured, and visually professional progress reports for the Technology Director and senior management.
- Create and maintain dashboards showing sprint progress, team KPIs, backlog status, and pipeline health.
- Build integrated dashboards that combine progress from multiple platforms into a unified view.
- Prepare presentations for management meetings and strategic reviews.
3. Cross-Platform & Product Coordination
- Track timelines, milestones, and delivery stages of all software products under development.\
- Coordinate updates and progress reviews between UX/UI, QA, Backend, Frontend, and Product Owners.
- Support roadmap status updates by collecting inputs and consolidating cross-team data.
- Maintain structured documentation on product changes, decisions, risks, and dependencies.
4. Service-Level Coordination & Support Ticket Management
- Serve as the primary coordination point between the Digital Accounts team and Software Development teams.
- Manage intake of internal support tickets, bugs, and enhancement requests.
- Log requests, prioritize with Tech Leads, route tasks appropriately, and follow up until closure.
- Maintain SLAs and ensure timely feedback loops between teams.
5. Resource, Timesheet & Capacity Tracking
- Track daily/weekly resource availability, leaves, and timesheet updates for internal team members and freelancers.
- Maintain updated team allocation maps, task ownership logs, and developer utilization reports.
- Support performance review preparation by collecting performance data, contributions, and sprint metrics.
6. HR & Administrative Coordination
- Assist with freelancer onboarding, offboarding, contract updates, and related HR coordination.
- Maintain a recruitment tracking log for the Technology Division.
- Organize and maintain the Technology Division’s OneDrive structure, ensuring systematic filing and easy retrieval.
- Draft internal memos, policies, and procedures under the direction of the Technology Director.
- Follow up on execution of approvals, memos, and policy actions with various departments.
7. Documentation, Governance & Confidentiality
- Manage structured documentation for projects, products, sprints, and operational workflows.
- Maintain confidentiality regarding all departmental work, internal data, management discussions, and HR-related matters.
- Ensure no information is shared with departments or team members without explicit approval from the Technology Director.
- Record minutes, decisions, action items, and follow-up items for internal meetings.
Qualifications
- Bachelor’s degree in computer science, Software Engineering, IT Management, or a related field.
- 3–5 years of experience in project coordination within software development or digital product environments.
- Strong understanding of Agile/Scrum methodologies and software development life cycles.
- Hands-on experience with Jira, Confluence, or equivalent tools.
- Strong communication and stakeholder management skills.
- Ability to prepare clear reports, dashboards, and professional presentations.
- Strong attention to detail, organizational skills, and ability to manage multiple streams of work.
