Your role
The Project Officer (PO) will strengthen the team of research facilitators (RFs) at FSTM. Reporting to the team leader, the PO will actively support project management for FSTM projects (mainly EU projects) and will manage the FSTM contracts directly linked to research projects.

Your role
The Project Officer (PO) will strengthen the team of research facilitators (RFs) at FSTM. Reporting to the team leader, the PO will actively support project management for FSTM projects (mainly EU projects) and will manage the FSTM contracts directly linked to research projects.
Key responsibilities :
- Project Management (Post-Award): Lead and coordinate the execution phase of European research projects, ensuring timely delivery of outputs, reporting forms, financial tracking, and effective communication with researchers and funding partners.
- Contract Management: Draft, coordinate internal review (by researchers and Uni.lu offices) and manage contracts directly linked to research projects (grant agreements, consortium/collaboration agreements), translating researchers’ requirements into concrete contract terms and actions.
- Stakeholder Interface: Act as the main liaison between researchers and central university services (legal, finance, HR, compliance), navigating institutional complexity with pragmatism and flexibility.
- Process Improvement: Collaborate to refine and streamline existing workflows for project and contract management, embracing adaptable and reliable approaches.
- Reporting & Deliverables: Monitor expenses, prepare project reports, coordinate submission of deliverables, and support project teams and partners throughout the project lifecycle.
- Team Collaboration: Work closely with the whole grant management team, more intensely with those working on post-award processes, contributing to knowledge-sharing, trust-building, and continuous development of best practices.
- Education: Master’s degree or equivalent in a scientific discipline relevant to FSTM.
- Experience: Demonstrated experience in contract management for research projects (preferably EU-funded). Familiarity with contract templates, grant agreements, and institutional requirements (VAT, IP, GDPR).
- Project Management: Proven ability in research project management, especially with EU and INTERREG projects; experience leading workflows and process improvements in complex environments is a plus.
- Organizational Skills: Highly organized, pragmatic, and able to handle multiple projects simultaneously; comfortable operating without rigid processes.
- Languages: Fluency in English is essential; French is considered as an asset
- Communication: Diplomatic, service-oriented communicator with strong relationship-building skills across teams and departments.
- Personality: Flexible, resilient, open-minded, collaborative, and proactive; thrives in changing and complex institutional settings.
