Project Administrator


Location/working model: Remote in Ottawa, with occasional office attendance if needed.

Contract type: Independent contractor/self-employed

Duration: 6 months (with the possibility of extension)


We are looking for a Project Adminisatrator professional to join our Professional Services team.The PA is responsible for working across the projects/workstreams within our Global Portfolio and involves tracking/reporting, assurance/quality control, information management, financial tracking, supplier milestone approval, risk/issue tracking, change control, support, communication log, dependency tracking.

This is a role requiring a capable and confident person who can clearly and concisely communicate across multiple levels.You will report into our Senior Manager of Program Management for the Americas region.


Responsibilities:

  • Tracking status of program deliverables and milestones.
  • Supporting the adoption of standards, best practices and deliverables.
  • Program level risk, issue, actions & dependency managements.
  • Monitoring the status of projects including transitioning into normal (BAU) service.
  • Coordination of the regular project and programme level reporting cycles.
  • Responsible for supporting Program Governance e.g. Program Board, SteerCo, workstream finances, working with the Regional Director.
  • Supporting Project and Quality Assurance Reviews.
  • Planning Support to ensure Plans align and are regularly updated, working with Project Managers.
  • Produce the Portfolio Level Plan
  • Other duties as required to fulfill role.


Requirements:

  • Microsoft Office skills - Excel, Powerpoint, Sharepoint (Must have)
  • Demonstrate risk and finance management skills.
  • Highly organised and be able to prioritise tasks independently.
  • Must be an excellent communicator at all levels.
  • Ability to build and maintain strong working relationships.
  • Show ability to manage a high volume workload within a fast-paced environment.
  • Experience in PMO Analyst or Support role (Preferred)
  • Experience working with and support customers (Preferred)
  • Jira/Confluence Experience (Preferred)
  • PowerBI Experience (Preferred)
  • Education to Bachelor level
