Executive Assistant to the CEO (all genders)
Our client - a well-established international technology corporation with a strong focus on digital innovation in the logistics sector - is looking for an experienced and proactive Executive Assistant to act as a strategic partner to the CEO. Tasks
- Calendar and Time Management: Manage and optimize the CEOs fast changing schedule, prepare materials in advance, anticipate potential conflicts, and protect time for high impact priorities.
- Travel and Logistics: Plan and manage international travel, accommodation, and transportation; prepare detailed itineraries and handle changes efficiently.
- Gatekeeping and Communication: Act as the CEO's primary communication hub, efficiently prioritizing numerous inquiries and conducting correspondence in a confident, discreet, and clearly structured manner.
- Meeting & Event Preparation: Organize and oversee board meetings, executive off-sites, and client engagements. Prepare agendas, briefing documents, minutes, and follow-up actions.
- Collaboration & Project Management: Act as a central hub for information, maintaining context, structure, and continuity across initiatives, divisions and functions.
Necessary qualifications
- Completed commercial education (A-level equivalent or higher)
- Minimum 3+ years of experience as an Executive Assistant, ideally supporting C-level executives or working in a high-intensity operations role within an international environment (technology industry is an advantage)
- Experience in high-growth, fast-moving industry or environment
- Excellent level of business English, both spoken and written; knowledge of Hebrew is an advantage
- Comfortable working on site in Vienna and open to international travel when necessary
- Excellent MS Office proficiency and a confident command of modern digital tools and systems, ideally with the ability to leverage them effectively in daily work
- Confident, highly structured, detailed-oriented, proactive, and excellent communication style at management level
- High level of discretion, reliability, and flexibility
