Your Role and Responsibilities

The HR Services organization provides delivery support for employees separating from IBM. The Delivery Specialist will play an integral role in a fast paced, collaborative shared services environment. The Delivery Specialist will be responsible to execute tasks for the timely and accurate completion of offboarding and onboarding in Romania. Process controls compliance is key performance measurement for the individual in this role.

The job holder will perform the following tasks for Employee Offboarding:


  • Deliver Offboarding process tasks according to the defined process flow and desktop - procedures
  • Work with various HR tools (eg. Workday, Success Factors) and deliverables supporting the smooth process delivery, including including monitoring and controlling the process.
  • Consolidate inputs from supporting process owners (e.g. Commissions, Travel, Cash Retention Team, Corporate Cards etc.) and provide input to Payroll for final settlement
  • Gain process expertise and resolve routine process-related issues that may arise
  • Work closely with country subject matter experts on country-specific processes
  • Handle escalations and address delivery execution related issues in a timely manner
  • Suggest enhancements and items for improvements in the area of responsibility, to increase efficiency and mitigate any delivery related risks/ process gaps
  • Manage & respond to queries from key stakeholders
  • Deliver periodic reports & analysis to leadership assessing process performance and adherence to agreed SLAs
  • Ensure delivery execution is compliant to Business Controls guidelines
  • Ensure process documentation is updated based on key updates/improvements to process delivery


The job holder will also perform the following tasks for Employee Onboarding:


  • Support managers with managing employment probation action on hire and at the end of probation; reviewing and correcting their actions where appropriate
  • Liaising with IBM legal for legal updates received from in-country Payroll&HR vendor with impact on the employment documents (offer, contract, job description, etc); providing the updated templates back to the vendor;
  • Reviewing personal information inputted by employees in HR system during onboarding to meet the integration requirements;
  • Maintaining a desktop procedure for the vendor onsite team and monitor the accuracy and timeliness of tasks completion;
  • Dealing with legal or procedure bypass


Required Technical and Professional Expertise


  • Communication - capability to collaborate with peers, stakeholders, communicate with different layers of management including handling escalations to senior management
  • Sense of accuracy and precision
  • Openness to learning and gaining new skills
  • Basics of project management - planning and execution of tasks according to the set timeline
  • Apply use of collaborative tools (Slack, Box, Trello etc.)
  • MS Office suite user


Preferred Technical And Professional Expertise


  • Experience with managing HR process or program
  • User experience with HR management systém, eg. Workday, Success Factors
