The Total Rewards Specialist, Benefits Administration, ensures the accurate, timely, and compliant delivery of global employee benefits programs. The role maintains high-quality benefits data, coordinates with external providers, supports employees, and ensures benefits processes run smoothly across all countries. In addition, the role monitors the cost-effectiveness and relevance of benefits offerings, providing insights and recommendations to ensure benefits remain aligned with company strategy, easy to administer, and meaningful to employees.
REQUIRED SKILLS & QUALIFICATIONS
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 3+ years’ experience in benefits administration, payroll support, Total Rewards, or HR operations.
- Solid understanding of benefits processes, regulations, vendor management, and data accuracy.
- Analytical skills to evaluate cost–benefit and utilisation of benefits programs.
- Strong communication and customer-service orientation.
- Proficiency in HRIS platforms, benefits portals, and Excel/Google Sheets.
- Ability to work across multiple countries, cultures, and time zones.
- High integrity in managing sensitive employee information

KEY RESPONSIBILITIES
1. Global Benefits Administration & Vendor Coordination
- Coordinate the day-to-day administration of benefit programs (insurance, pensions, allowances, wellness, etc.) across all countries.
- Act as the primary contact for benefits vendors, brokers, and administrators.
- Manage eligibility updates, enrolments, changes, and terminations.
- Support annual renewals by gathering data, preparing documentation, and coordinating with providers.
- Monitor service delivery of benefits partners and escalate issues.
- Maintain accurate, up-to-date benefits communication material and employee resources.
2. Data Management, Reporting, and Payroll Inputs
- Ensure benefits-related data is accurately recorded in HRIS and vendor platforms.
- Prepare and validate payroll inputs (deductions, employer contributions, reimbursements).
- Conduct routine reconciliations to ensure alignment between TMD, payroll, and vendor data.
- Produce benefits reports and metrics for TMD, Finance, and business leaders.
- Support statutory and regulatory reporting related to benefits where required.
3. Employee Support & Global Policy Maintenance
- Respond to employee and manager questions about benefits eligibility, coverage, and procedures.
- Support employees through life-event changes and ensure timely updates to benefits records.
- Maintain global and local benefits documentation, FAQs, and communication templates.
- Ensure benefits administration follows local regulatory requirements and internal TR policies.
- Identify and escalate potential compliance risks or policy misalignments.
4. Benefits Evaluation, Cost–Benefit Review & Continuous Improvement
- Monitor the cost, impact, and utilisation of benefits programs across countries.
- Assess benefits offerings to ensure they are:
- aligned with company strategy,
- easy to administer and manage,
- valued and relevant to employees.
- Provide recommendations for adjustments or simplifications where programs are outdated, costly, or under-utilised.
- Support benchmarking and market research activities
- Assist in the rollout of new benefits or improvements to existing programs.
- Contribute insights to ensure global benefits remain competitive, compliant, and sustainable.
