About the Role
We are seeking a HR Contact Center Specialist to join a global People & Organization (HR) Shared Services team. In this role, you will act as the first point of contact for employees, managers, and HR partners, supporting HR-related queries and transactions across multiple countries.
You will deliver high-quality service through multiple communication channels while ensuring compliance with internal policies, service standards, and data protection regulations.
Key Responsibilities
- Serve as the first point of contact for HR-related inquiries from employees, managers, and HR partners.
- Handle customer inquiries through multiple channels including phone, web chat, and ticketing systems following established service guidelines.
- Provide support to stakeholders across multiple countries while maintaining high-quality service delivery and clear communication.
- Resolve inquiries using internal systems, knowledge bases, and documented workflows.
- Guide employees on HR processes, tools, and services, promoting self-service and first-contact resolution where applicable.
- Manage challenging interactions professionally and handle dissatisfied customers with empathy and confidence.
- Prioritize workload to meet service level agreements (SLAs), customer satisfaction targets, and productivity metrics.
- Collaborate with internal teams to resolve more complex cases.
- Track open cases and proactively provide updates to customers on progress or available solutions.
- Maintain accurate case documentation and system updates.
- Identify recurring issues and support continuous process improvement initiatives.
- Ensure that all personal data is handled according to confidentiality standards and applicable data protection regulations.
Requirements
- Bachelor’s degree or equivalent experience (preferably in Business, HR, Communications, or Customer Service).
- Minimum 1 year of experience in a Contact Center, Customer Support, or HR Shared Services environment.
- Experience supporting customers via phone, chat, and ticketing systems.
- Comfortable working with multiple systems and digital platforms (CRM tools, ticketing systems, internal databases).
- Strong ability to follow procedures and perform tasks with high accuracy and attention to detail.
- Excellent communication, listening, and problem-solving skills.
- Strong customer service and conflict resolution skills.
- Ability to work effectively in a fast-paced environment with strong time management skills.
- Ability to handle confidential and sensitive information responsibly.
- Fluency in German, English, and Polish
