Job Overview
We are looking for an Omani Document Controller with a minimum of 4 years of experience to join our team. The candidate will be responsible for managing, tracking, filing, and controlling project documents to ensure proper documentation flow and timely submission of records for water and wastewater treatment projects.
The role includes coordinating with project teams, consultants, subcontractors, and clients to maintain updated drawings, technical submittals, correspondence, reports, and quality records in an organized and efficient manner.
Specific Duties/Responsibilities
- To collaborate with project teams, vendors, and stakeholders to ensure timely distribution, retrieval, and archiving of project documents.
- Develop and implement document control procedures compliance with industry standards, and organizational policies.
- Maintain document confidentiality by enforcing access controls, conducting periodic audits, and ensuring overall security of sensitive information.
- Coordinate the transmittal distribution, review, approval, and timely return of project documents.
- Ensure all stakeholders have access to the latest, accurate, and approved project documents.
- Administer and maintain the Electronic Document Management System (EDMS), ensuring data integrity and proper archiving.
- Monitor document workflows to ensure on-time delivery (OTD).
- Provide training and support to internal teams on document control procedures and systems.
- Prepare reports on document control activities to monitor Project Schedule.
- Manage document revision control, ensuring proper handling of obsolete, void, and superseded documents with complete records.
- Ensure all documents comply with internal standards & client requirements.
- Track and monitor project documentation progress to ensure alignment with project schedules.
- Manage EDMS document control software (e.g., ACC Docs.) and administer project-specific document numbering systems.
- Any Graduation or Diploma with relevant work experience
- Omani national
- Experience in document control for construction or infrastructure projects preferred
- Good knowledge of document management systems, filing, and record keeping
- Proficiency in MS Office and document tracking tools
- Good communication and coordination skills
- Minimum 3 years of relevant experience in industrial engineering & Construction firm, with experience in managing and organizing documents within an organization.
