Role purpose

Ensures the preparation, registration, and management of all physical and electronic employee documentation, as well as the submission of required documents to relevant institutions and authorities, in compliance with current Romanian labor legislation.


Key accountabilities

  • Prepares and maintains personnel files and all related documentation for employee onboarding and offboarding, as well as for any changes occurring during the execution of the Individual Employment Contract (CIM), including job descriptions, amendments, decisions, and other legally required documents.
  • Registers and updates all employee data in the Labor Inspectorate’s online systems and in the payroll system (Revisal, Win Mentor), in accordance with applicable Romanian legislation.
  • Archives and manages all personnel files, documents, and databases related to HR administration activities.
  • Provides legal support and prepares documentation related to the Collective Labor Agreement (CCM), Internal Regulations (ROI), and internal HR decisions.
  • Provides legal support and prepares documentation for disciplinary investigation procedures, in accordance with labor law.
  • Manages the relationship with the occupational health services provider for pre-employment and periodic medical examinations.
  • Submits and registers employee-related documents with local and national authorities, as required by law.
  • Prepares statistical reports and centralized HR data related to company personnel.
  • Develops procedures, work instructions, and document templates within the scope of responsibility, in line with company standards.
  • Participates in internal and external audits and addresses follow-up actions related to HR administrative procedures and documentation.
  • Provides employees and colleagues with information regarding labor legislation, provisions of the CCM, ROI, internal procedures, HR work instructions, and employee benefits.
  • Prepares various monthly reports (for Finance, Occupational Health, and other ad-hoc HR reports as requested).
  • Complies with the company’s Internal Regulations and work procedures and maintains a professional and confidential approach to all managed data.
  • Understands, applies, and complies with procedures within the assigned area of responsibility, as well as applicable cross-departmental procedures.
  • Benefits Management: Validate benefits eligibility and updates the platform.
  • Performs other tasks related to the role, as assigned by the direct manager.
