About the role:
The Executive Assistant will play a pivotal role in enabling leadership effectiveness by providing high‑quality administrative and operational support. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast‑paced environment. The EA will act as a trusted partner to senior leaders, ensuring seamless calendar management, meeting coordination, travel planning, and stakeholder communication. Beyond administrative responsibilities, the role demands discretion, problem‑solving ability, and cultural alignment to foster smooth collaboration across teams and functions.
Roles and Responsibilities :
● Strategic Calendar Management: Orchestrate complex schedules across global time zones, balancing priorities and anticipating conflicts
● Executive Communications: Serve as the first line of communication for executives—screening calls, managing correspondence, and interfacing with clients, investors, and senior stakeholders
● Leadership Documentation: Draft, refine, and manage internal and external corporate documents, memos, and presentations with precision and discretion
● Meeting & Event Coordination: Schedule, prepare, and follow up on leadership meetings, ensuring executives are equipped with insights and materials for informed decision-making
● Travel & Logistics: Design and manage seamless travel itineraries, including international bookings, visas, and expense reconciliation
● Stakeholder Liaison: Act as the trusted point of contact between executives and internal/external colleagues, fostering strong relationships and clear communication
● Operational Excellence: Provide high-level administrative support, streamline processes, and implement efficiency improvements across executive workflows
● Confidentiality & Discretion: Uphold the highest standards of confidentiality in handling sensitive information and strategic initiatives.
Key skills & Attributes :
● Extensive Experience: Minimum of 6+ years as an Executive Assistant, with proven success supporting senior management and C-level executives.
● Technical Proficiency: Advanced command of Microsoft Office Suite with a strong willingness to adopt and master firm-specific software platforms.
● Organizational Excellence: Demonstrated ability to prioritize and structure daily workloads, ensuring seamless execution of competing demands.
● Deadline Management: Skilled at delivering results within fast-paced, dynamic environments, consistently meeting critical timelines.
● Strategic Problem-Solving: Proactive mindset with sound decision-making skills, anticipating challenges and implementing effective solutions.
● Collaboration & Delegation: Adept at fostering teamwork, coordinating across functions, and delegating responsibilities to drive efficiency.
● Project Management: Strong organizational and project management capabilities, ensuring initiatives are executed with precision.
● Communication Mastery: Exceptional verbal and written communication skills, capable of crafting executive-level correspondence and presentations.
