Job Description

We are seeking a highly organised, proactive, adaptable and dependable Executive Assistant to support the Group CEO in a fast-paced, international environment. This role requires a trusted partner who can manage priorities, coordinate across stakeholders, and ensure the CEO’s time, travel, and engagements are executed seamlessly.


In addition, this role will oversee the office administration function, ensuring smooth operations and consistent standards across administrative support within the organisation.


Key Responsibilities

Executive Support

  • Manage the CEO’s calendar, ensuring effective prioritisation of meetings and commitments
  • Act as a gatekeeper to optimise the CEO’s time and manage competing priorities
  • Prepare high-quality briefing materials, presentations, and documentation for internal, Board, and investor-related discussions
  • Support the CEO in driving key strategic initiatives and special projects across the organisation
  • Track progress of key priorities, ensuring deadlines and deliverables are met
  • Coordinate cross-functional teams to support execution of high-impact projects


Travel & Logistics Management

  • Manage complex, multi-country travel arrangements, including flights, accommodation, ground transportation and itineraries
  • Develop efficient itineraries across multiple time zones, ensuring optimal use of time
  • Proactively manage changes and disruptions, ensuring seamless execution of travel plans
  • Maintain an understanding of the CEO’s preferences to ensure consistency and efficiency


Meeting, Board & Workshop Coordination

  • Coordinate and organise meetings, leadership sessions, Board engagements, and workshops, ensuring alignment of schedules and stakeholders
  • Support preparation of Board and investor materials, including agendas, packs, and briefing notes
  • Assist in ensuring smooth execution of Board and leadership meetings, including logistics and documentation
  • Track key action items and follow-ups to support timely execution of decisions
  • Attend key meetings where required to capture minutes, decisions, and key discussion points
  • Support post-meeting communication and documentation, including summaries and next steps


Stakeholder Coordination

  • Liaise with internal senior leadership and external stakeholders, including Board members, investors, and partners
  • Ensure timely follow-ups and alignment on key priorities and deliverables


Office Management

  • Oversee and coordinate the office administration function, ensuring smooth and efficient day-to-day operations
  • Manage and provide direction to administrative staff, ensuring consistent standards and ways of working
  • Coordinate with vendors and service providers on office-related matters (e.g., facilities, supplies, and general office environment)
  • Drive professionalism, organisation, and efficiency across administrative support within the office
  • Monitor office budgets and expenses, ensuring cost efficiency and transparency


Communication & Documentation

  • Draft and review correspondence on behalf of the CEO where required
  • Maintain a high standard of professionalism, accuracy, and confidentiality in all communications
  • Support internal communications and messaging alignment where required


Requirements

  • Minimum 5–10 years of experience supporting senior executives, ideally at C-suite level
  • Prior experience supporting Board or investor-related activities is advantageous
  • Proven experience managing complex travel and executive schedules in a fast-paced environment
  • Experience overseeing or coordinating administrative / office functions is preferred
  • Strong organisational and multitasking skills, with the ability to manage competing priorities
  • Excellent communication and interpersonal skills
  • High level of discretion and professionalism in handling confidential information
  • Proficiency in Microsoft Office and collaboration tools
