Our client is a fast-growing consulting and technical services firm specializing in the renewable energy sector, with a focus on onshore and offshore wind projects. The position is based in the north of Luxembourg - Possible travel in Europe.
Role:
The Project Manager plans, executes, and finalizes projects according to strict deadlines and within budget, while ensuring the highest standards of safety, quality, and customer satisfaction, this includes acquiring resources and coordinating the efforts of team members and suppliers to deliver projects according to the plan.
The Project Manager is also involved upstream in the pre‑sales phase to ensure operational feasibility before contract signature.
The Project Manager will also define the project’s objectives and oversee quality control throughout its life cycle.
Responsibilities:
Pre‑Sales Involvement & Commercial Support :
- The Project Manager is involved before contract signature to validate feasibility, risks, planning assumptions, and operational constraints.
- When an opportunity reaches 75% probability of success, the Project Manager supports the Sales Representative during customer exchanges (meetings, clarifications, technical validation).
- Provides operational validation of offers: planning, resources, tooling, site constraints, subcontractor needs, and risk mitigation.
- Contributes to pre‑contract preparation: initial PMD elements, workload estimation, preliminary Gantt, Supply Chain inputs.
- Ensures that each project is operationally validated before signature to guarantee a seamless transition to Operations.
Project Planning & Resource Allocation :
- Validate and oversee all project planning elements with the Booking Planning Coordinator including vehicle and kit planning, accommodation, transport, and on-site resources for the operational team
- Forecast workload and ensure adequate training resources are available
- Conduct weekly reviews of arrangements and resource allocation
Customer & Stakeholder Management :
- Serve as the primary point of contact for customer communication
- Validate the project kick-off with the customer and conduct weekly meetings as applicable
- Follow up on Non-Conformance Reports (NCR), HSE events, and ensure daily activity reports are shared promptly
- Ensure waiting time and extra work reports are properly documented into the Upvise mobile application, signed by the Team Leader and accepted by the customer
Supplier Communication & Tools Coordination :
- Lead weekly project coordination meetings with the Supply Chain department
- During project preparation, verify tool lists, request creations/updates, and inform the Supply Chain department of project specificities (vans, trailers, runners…)
- Share needs and schedules with the Supply Chain department and provide continuous updates on project progress or necessary adaptations
- Record and update needs for development/investment for the Capex plan
Project Execution :
- Ensure efficient communication and a seamless handover to the on-site team via detailed Kick-Off emails, including plannings, subcontractor details, contract specificities, documentation, and project-specific goals
- Maintain and regularly update the Project Master Document (PMD) highlighting risks per project and setting up action plans
- Keep Gantt views and checklists updated for all projects reflecting any changes in the scope or events
Financial Follow-Up & Analysis :
- Monitor project finances focusing on minimizing costs and reviewing costs allocation
- Prepare and present financial overviews to stakeholders
- Ensure projects remain within budget and identify areas for financial improvements
Sales Support & Offer Coordination :
- Coordinate with the Sales department on kick-off meetings for new confirmed projects
- Maintain awareness of all contractual specificities and provide support in offer redaction
- Handle crane requirements and validate project planning with suppliers
- Handover site specificities (maps, planning, customer requirements) to suppliers and review reporting as applicable
QHSE Management:
- Coordinate with the Site Compliance Supervisor to conduct site visits and emergency tests ensuring regular follow-up on actions
- Monitor and ensure correct reporting of all QHSE events occurring on-site
- Participate in customer and REX (Return of Experience) meetings ensuring continuous follow-ups on outcomes to implement improvements
- Develop work procedures to enhance safety and efficiency
Profile:
- Proven experience in project management, preferably in the wind energy or a related technical field
- Strong understanding of project management methodologies and tools
- Excellent communication, negotiation, and stakeholder management skills
- Financial affinity with experience in budgeting and cost control
- Ability to manage multiple projects simultaneously in a fast-paced environment
- Proficiency in English & French, any other language would be an asset
