Role Overview:
Scaled Operations is the organization responsible for managing all outsourced vendor operations that support the company’s Global Operations division. The Scaled Ops Excellence (SOE) team within this division manages internal critical business functions, establishes and maintains effective governance structures, and provides comprehensive program management support.
Our client is seeking a highly organized and detail-oriented individual to support the program management, governance, and communications functions for our outsourced vendor operations. The successful candidate will be responsible for managing programs/projects, preparing internal and external communication materials, and planning governance meetings in support of executive stakeholders based in multiple locations and time zones.
Key Responsibilities
1. Program & Project Management
- 1.1 Program Delivery: Stand up and manage complex programs and projects from inception through execution. Balance "Business as Usual" (BAU) operations with strategic initiatives, including a strong ability to facilitate workshops with a wide range of cross-functional stakeholders.
- 1.2 Process Optimization: Drive continuous improvement through process mapping, proposal writing, and identifying automation opportunities that deliver measurable business impact.
2. Communications
- 2.1 Internal Comms: Prepare internal communications, including executive briefs, weekly/monthly business reviews, and operational performance updates to ensure stakeholders across multiple functions and regions remain informed of global operations.
- 2.2 External Comms: Prepare external-facing communications shared with third-party BPO (Business Process Outsourcing) vendors, such as business updates, audit and compliance guidelines, and newsletters, ensuring they are clear, accurate, and aligned with company positioning.
- 2.3 Executive Synthesis & Business Writing: Provide high-level synthesis of complex information to support executive decision-making. Develop clear and concise business writing to communicate key messages to audiences ranging from operations to business stakeholders.
3. Governance
- 3.1 Meeting Planning & Scheduling: Plan and schedule governance meetings with executive attendees—both internal and external—who span across multiple time zones and locations.
- 3.2 Materials Preparation & Collation: Prepare meeting materials, including collating inputs and summarizing data so that it is consumable by an executive audience.
- 3.3 Meeting Attendance & Administration: Drive effective operation of governance meetings by curating agendas and documenting decisions and action items.
4. Goal & Priority Tracking
- 4.1 Reporting Process Management: Develop and manage reporting processes to track progress against goals and priorities, including data collection and analysis.
- 4.2 Consolidation of Updates: Create regular updates (monthly/quarterly) on progress against goals, consolidating information from various sources and presenting it clearly for executive audiences.
Qualifications
- 6-7+ years in a Consulting, Technology, Operations, or Program/Project Management-based environment.
- Proven ability to thrive in a fast-paced environment with high levels of ambiguity and change.
- Experience working across a wide range of stakeholders in multiple geographic regions and time zones.
- High-agency, self-starter mentality with a continuous improvement mindset and the ability to reprioritize and deliver quickly.
- Demonstrated ability to engage effectively with senior stakeholders and distill complex topics into easily consumable narratives for an executive audience.
- Excellent analytical and communication skills with proficiency in data visualization.
