For our client—an international company in the medical industry—we are currently looking for an HR Specialist.
You will be based in Kraków, Poland, working closely with the Northern Europe HR Team. In this role, you will participate in both local and international projects, including global initiatives. You will also support and maintain high data accuracy in our HR systems, ensuring the payroll process is managed efficiently.
Responsibilities:
- Act as the primary point of contact for employees and managers on all matters related to HR system (Workday)
- Manage and keep employee benefits administration up to date across European countries throughout the entire employee lifecycle (from onboarding to offboarding).
- Own onboarding documentation and employment/education certificates, ensuring full compliance with local legal requirements (contracts, annexes, reference letters, certificates).
- Ensure HR systems are consistently maintained and accurate (absence and time tracking, compensation, travel, etc.), and provide data inputs for strategic dashboards and reporting.
- Support early-stage recruitment activities, including job postings and initial phone screenings, and assist with interview scheduling in later stages.
- Coordinate internal vacancy postings on the intranet and external job board adverts in close partnership with hiring managers.
- Monitor the HR mailbox, triage incoming requests, and prioritize responses accordingly.
- Support HR-related payment requests and invoice processing.
- Contribute to HR projects focused on continuous improvement and enhancing the employee experience.
- Provide ad hoc administrative and operational support to the HR team as needed.
Your qualifications:
- Master’s degree, ideally in Human Resources or a related field.
- At least 2-3 years’ experience in HR operations (HR Operations Specialist/HR Generalist) within an international organization.
- Hands-on experience with HR systems such as Workday and/or ADP is highly desirable.
- Positive, service-oriented attitude, with a genuine focus on supporting employees and strengthening company culture.
- Good end-to-end knowledge of HR processes across the employee journey (onboarding, development, changes, offboarding/retirement).
- Proficiency in Microsoft Office, with advanced Excel skills
- Motivation to work in a modern, digital-first environment.
- Fluent English (C1) is required, knowledge of German would be a plus
