Project Management Assistance

The Project Management Assistance provides comprehensive administrative and secretarial support to the Director of Project and project team members. The role facilitates smooth daily operations, supports internal and external communications, and contributes to the coordination and execution of project-related activities.

Key Responsibilities

  • Provide daily administrative support to the Director of Project, including calendar management, correspondence, and meeting coordination.
  • Handle phone calls, emails, visitor reception, and internal logistics such as conference room and videoconference bookings.
  • Prepare reports, consolidate departmental data, and draft meeting minutes for internal and external use.
  • Manage SAP tasks related to purchase requisitions and receipts; maintain accurate contract records.
  • Coordinate travel arrangements, visas, accommodations, and event logistics for project staff and guests.
  • Collaborate with cross-functional teams and ensure compliance with company health, safety, and hygiene policies.

Who We Are Looking For – Requirements  

Education Higher education degree.

Work experience Minimum 1 year of experience in a similar role.

Language Proficient in English & Romanian (spoken and written).

Other Skills And Knowledge   

  • Advanced PC skills (MS Office, especially Excel).
  • Experience with SAP (requisitioning and goods receiving) is a plus.
  • Knowledge of project management processes is an advantage.
  • Excellent communication, negotiation, and interpersonal skills.
  • Strong organizational ability, attention to detail, and capacity to multitask under pressure.
  • Proactive, reliable, and collaborative with discretion; event coordination experience is a plus.
