Description:

We are hiring an Administrative & Operations Coordinator to support a founder who runs a specialized marketing and recruiting firm focused exclusively on law firms. This role is ideal for someone highly organized, tech-savvy, and eager to grow into a more strategic operations position. The founder acts as a fractional CMO and in-house growth manager, offering tailored strategy and execution for legal clients. This is a high-ownership role that requires structure, follow-through, and strong communication. Fully remote. Full-time. Must be ENGLISH-SPEAKING.


Salary: $1,300/mo

Hours: 9:00 am to 5:00 pm CST


Key Responsibilities:

  • Organize and track client deliverables across multiple legal firms and service tiers (strategy vs. hands-on execution).
  • Maintain project plans and create action items from client meeting notes (Fireflies, Zoom, etc.).
  • Coordinate reports, follow-ups, and key milestones across client accounts.
  • Support hiring and recruiting tasks—especially for hard-to-fill legal roles like lawyers, paralegals, and legal ops/admin staff.
  • Help track and follow through on KPIs tied to client intake, sales, and recruiting efforts.
  • Manage communications with contractors (Europe and Nicaragua) and external vendors.
  • Upload, update, and maintain materials in the CRM or project management systems.
  • Support setup of marketing automations, scheduling content or reminders as needed.
  • Keep the founder organized, on-task, and aware of changing deliverables across dynamic client engagements.


Key Qualifications:

  • 2+ years in an administrative, project coordination, or marketing support role.
  • Comfortable working in a remote environment and taking initiative with minimal oversight.
  • Excellent written and verbal communication skills.
  • Experience supporting marketing teams or working in a service-based business.
  • Familiar with using CRMs, project management tools, or automation platforms.
  • Comfortable turning meeting notes into checklists and follow-up items.
  • Must own and be able to use a working computer with high-speed internet.
  • Must be ENGLISH-SPEAKING.


Nice to Have:

  • Familiarity with the legal industry, especially law firm operations or recruiting.
  • Experience with marketing systems or intake pipelines.
  • Prior experience supporting a founder or executive in a growth role.
