Role
The HR Coordinator is the sole HR representative within the Ukrainian team and is responsible for managing the full employee life cycle. This role combines recruitment, HR administration, compliance with Ukrainian labor law, and day-to-day employee support. The HR Coordinator acts as a key point of contact for employees and managers, ensuring smooth HR operations, accurate documentation, and timely support to both local and international staff.
Key Responsibilities
- Manage the full recruitment cycle: preparing vacancy announcements, sourcing candidates, cooperating with recruitment agencies, arranging interviews, and supporting hiring decisions.
- Coordinate onboarding and offboarding processes, including document collection, employment agreements, modifications, and termination documentation in compliance with Ukrainian labor law.
- Maintain and administer HR documentation and personnel records in accordance with legal and internal requirements.
- Work closely with department heads to identify staffing needs, plan recruitment activities, and support workforce planning.
- Act as a primary point of contact for employees on HR-related matters, supporting everyday employee needs and inquiries.
- Develop, update, and maintain internal HR documents and tools, including onboarding materials, internal policies, organizational charts, trackers, and HR workflows.
- Ensure proper military registration processes and maintain compliance with applicable regulations related to military records.
- Cooperate closely with IT, Finance, Procurement, and Occupational Health and Safety teams to ensure smooth onboarding, access management, payroll inputs, benefits administration, workplace safety compliance, and overall HR process alignment.
- Provide visa and relocation support to international colleagues, including coordination of required documentation and interaction with external providers.
- Support HR reporting and provide analytical information to management as needed.
- Ensure HR processes align with internal policies and current Ukrainian labor legislation.
Requirements
- Higher education in Human Resources, Law, Management, or a related field.
- Proven experience managing HR processes in Ukraine, including hands-on work with Ukrainian labor law and personnel documentation.
- Solid knowledge of military registration requirements and related procedures.
- Experience working as a standalone HR role is a strong advantage.
- Strong organizational skills and attention to detail, with the ability to manage multiple processes simultaneously.
- Excellent communication skills and the ability to work effectively with employees at all levels.
- Ukrainian — fluent; English — Upper-Intermediate.
