Your new role
You will take on a dual Receptionist and Administration Support position, providing front-of-house service and assisting the wider office with essential administrative tasks. This is a part-time role with three days per week dedicated specifically to reception duties.
Your responsibilities
- Manage the reception area, ensuring it is tidy, organised, and welcoming.
- Greet visitors professionally and assist with meeting room bookings.
- Answer incoming calls promptly and professionally, ensuring efficient handling and redirection.
- Coordinate courier and taxi bookings while maintaining accurate logs.
- Sort all incoming post-open, log, and prepare for distribution.
- Set up IT equipment for meetings as needed.
- Organise meeting room refreshments, in-house lunches, and weekly staff lunch arrangements.
- Provide cover for the post room and kitchen during holiday periods.
- Provide admin and secretarial support to senior staff and their teams.
- Prepare a variety of documents including certificates, agreements, compliance forms, and other regulated templates.
- Manage printing, photocopying, scanning, filing, and document binding.
- Produce, edit, and format documents to a high standard.
- Book travel arrangements including flights, hotels, and trains, and prepare detailed itineraries.
- Arrange meetings on behalf of senior staff.
- Process expenses, mileage claims, and credit card payments.
- Maintain office supplies and place orders as required.
What you'll need to succeed
- Exceptional communication and organisational abilities.
- Strong attention to detail and the ability to meet deadlines.
- A flexible, proactive, and "can-do" attitude.
- Consistent punctuality.
- A high standard of written English along with accurate typing skills.
- Proficiency across Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
