Super Matter Expert – New Business Integration & Implementation Specialization: Shareholder Services / Transfer Agency Location: Luxembourg

About the role

We are seeking an experienced TA Subject Matter Expert with a Project Management approach to lead the end-to-end onboarding and implementation of new fund clients within our Shareholder Services / Transfer Agency function. The successful candidate will act as the single point of contact between the client, internal operational teams, and external service providers, ensuring the seamless integration of new funds, sub-funds, share classes, and distribution arrangements onto our platform.

Key responsibilities

• Manage the full lifecycle of new client onboarding projects – from initial scoping and kick-off through to go-live and post-implementation review – covering new fund launches, share class additions, distributor onboarding, and TA migrations.
• Define project scope, governance structure, milestones, deliverables and resource requirements; produce and maintain project plans, risk and issue logs, and steering committee materials.
• Coordinate cross-functional stakeholders across Operations, AML/KYC, Compliance, Legal, IT, Fund Accounting, and Client Services, as well as external parties (Management Companies, ManCos, Depositaries, Custodians, Distributors, Paying Agents, prior Transfer Agents).
• Lead static data set-up and platform configuration: dealing cycles, cut-off times, NAV frequency, settlement instructions, fee structures, distribution channels, ISIN registration, and TA system parameters (e.g. Multifonds, NTAS, pFolio, or equivalent).
• Oversee investor account opening, AML/KYC onboarding flows, FATCA/CRS classification, and the migration of existing registers from outgoing Transfer Agents.
• Drive User Acceptance Testing (UAT), parallel runs and dress rehearsals; validate readiness before go-live and ensure proper hand-over to BAU teams.
• Manage client expectations through structured communication: kick-off meetings, weekly status updates, steering committees, and operational walk-throughs.
• Identify process improvements and contribute to the continuous evolution of the onboarding methodology and project management framework.

Profile

• Minimum 8–10 years of experience in the Luxembourg fund industry, with a significant portion in Transfer Agency / Shareholder Services.
• Proven track record in project management of new fund launches, client onboardings, or TA migrations.
• Strong knowledge of Luxembourg fund vehicles (UCITS, Part II, SIF, RAIF, SICAR) and the operational implications of each structure.
• Solid understanding of the TA operating model: dealing, registry, settlements, distributions, commissions, AML/KYC, FATCA/CRS, and investor reporting.
• Familiarity with industry platforms such as Multifonds, NTAS, pFolio, or RBC's TA systems is a strong asset.
• PMP, PRINCE2, or equivalent project management certification preferred.
• Excellent stakeholder management, organizational, and communication skills; ability to navigate complex matrix organizations and influence without direct authority.
• Comfortable operating under pressure, managing multiple parallel workstreams, and meeting tight regulatory or contractual deadlines.

Languages

• Fluency in English is mandatory.
• French and/or German is a strong advantage.
