Hours: 3 days per week (22.5 hours per week)

Reports to: Finance Manager

Location: London, UK (Central London office, 2-3 days per week)

Ideal Start Date: ASAP/Early May 2026

About The Role

We are looking for a Finance Assistant to join us on a part-time, 3-month contract, with the potential to become permanent. This is a hands-on role where you will be expected to hit the ground running, taking ownership of day-to-day finance operations while identifying opportunities to improve processes and drive efficiencies.

You will work closely with the finance and operations teams, ensuring accurate information is maintained, records are well organised, and month-end and reporting processes run smoothly.

You will be comfortable working independently, confident solving problems, and proactive in identifying opportunities to improve how things are done.

Responsibilities

Ledger management and processing

  • Process supplier invoices and credit notes with accurate coding and maintain clear, well-organised records
  • Maintain an organised purchase ledger and manage supplier payment runs
  • Raise sales invoices and credit notes, ensuring the sales ledger is accurate and up to date
  • Monitor outstanding debtors and proactively manage credit control activity, escalating delays or concerns where necessary

Reconciliations and financial records

  • Complete regular bank reconciliations and cashbook reviews
  • Reconcile balance sheet accounts and investigate and resolve discrepancies
  • Maintain accurate, consistent and audit-ready financial records

Month end and reporting

  • Prepare and post journals
  • Support month-end close and management reporting, ensuring data is accurate and reliable
  • Support budgeting, forecasting and variance analysis, preparing schedules and reviewing variances

Stakeholder support and communication

  • Respond to finance queries from internal teams, clients and suppliers, using sound judgement and escalating where appropriate
  • Work closely with operations and account teams to ensure financial processes run smoothly

Process and systems support

  • Identify and implement improvements to finance systems and workflows
  • Follow financial controls and data protection requirements, proactively identifying and escalating risks where necessary

Requirements

  • Strong understanding of double entry bookkeeping and core accounting principles
  • Industry experience essential
  • Strong Google Sheets / Excel skills, including formulas and data manipulation
  • Confident using Xero (essential)
  • Proven experience in a Finance Assistant or similar role
  • Confident managing invoicing, maintaining ledgers and working with financial data
  • Strong organisational skills with the ability to manage multiple priorities and meet deadlines
  • Strong attention to detail, with the ability to identify, investigate and resolve discrepancies
  • Clear and confident verbal and written communication skills
  • Able to work independently and add value quickly
  • Proactive mindset, with a focus on improving processes and driving efficiencies
  • Experience using AI tools or automation to improve workflows
  • Experience working in a fast-paced or agency environment

We currently operate a hybrid working week, including Tuesday-Thursday in the office.
